Readytech Zambion connector

Use your Ready Workforce by Zambion data for reporting, automation and AI.

Data Panda brings your Zambion payroll, rostering and time and attendance records into the same warehouse as your finance, sales and operations data. From one place we turn it into dashboards, automations, AI workflows and custom apps that finance, HR and site managers use during the week, not only on the morning of a board meeting.

About Readytech Zambion

The AU and NZ workforce platform behind complex roster industries.

Zambion started in New Zealand more than a decade ago as a cloud workforce management platform combining payroll, rostering, time and attendance, leave and HR on one record. It was acquired by ASX-listed ReadyTech in 2021 alongside WageLink, and now sits inside ReadyTech's Workforce division as Ready Workforce by Zambion. The platform is ATO and IRD compliant, supports award interpretation and Single Touch Payroll for Australia, and pairs with the Ready People mobile app for self-service.

The customers we see on Zambion run multi-site operations where a roster is a serious object: hotels and accommodation groups, retail chains, transport and logistics operators, manufacturers, agribusiness and horticulture employers, professional services firms with billable timesheets. Public references include Millbrook Resort, JW Marriott, Go Bus and Mr Apple. The Ready Workforce record holds employees, contracts, rosters, timesheets, approved and pending leave, payslips and award interpretations applied per shift. Inside Zambion that data answers the weekly payroll question well. Pulled into a warehouse next to Xero or QuickBooks, your booking system, your ERP and your CRM, the same record finally answers the questions that span finance, ops and HR: where labour cost runs ahead of revenue per site, how often a roster gets rebuilt after publication, and which awards drive the loadings that move the wage bill week to week.

What your Readytech Zambion data is for

What you get once Readytech Zambion is connected.

Workforce and payroll reporting

Wage cost, roster fill, time and attendance and leave liability on one page across every site and entity.

  • Wage cost per site, department and award, set against revenue or output
  • Roster fill, no-shows and shift-swap rate per venue and week
  • Leave liability and accrual movement per cohort and entity

Process automation

Turn Zambion events into the downstream work the rest of the operation expects, without a Monday morning checklist.

  • Post each pay run as journals into Xero or QuickBooks per entity and cost centre
  • Alert site managers when a published roster is rebuilt past a threshold
  • Route certification expiries and unsigned timesheets to the right approver

AI workflows

Put rosters, timesheets and award interpretation behind AI that sees the full operating picture, not one site at a time.

  • Forecast labour demand per venue and daypart on booking and weather signals
  • Flag award-interpretation outliers where a shift cost looks off pattern
  • Natural-language Q&A across the employee record, leave policy and pay rules

Custom apps on your data

Lightweight tools on Zambion data for site managers and finance who should not need a payroll seat to read their own numbers.

  • Site-manager workbench with daily wage cost, roster gap and overtime trend
  • Group-finance cockpit with payroll cost per entity and award, ready for the close
  • Leave-planner that nets approved time-off against the published roster

Real business questions

Answers you will finally get.

Where does our labour cost run ahead of revenue, by site and daypart?

Wage cost from Zambion per site and daypart, joined to POS or booking revenue from the same window, plotted as a labour-cost percentage. The COO sees which venue runs eight points above the group target on a Saturday night, and which daypart absorbs the loadings that drag the week, instead of waiting for a monthly site review.

How often does a published roster get rebuilt before the week starts?

Each version of the roster from Zambion stored in the warehouse, so rebuild count per site and week becomes a number rather than a feeling. Operations sees which sites publish on Tuesday and rebuild three times by Friday, and which managers run a stable roster, before the staff Slack channel makes it obvious.

What is our true leave liability across entities, today?

Annual, personal and long-service leave balances from Zambion per employee, valued at current rates and rolled up per cohort, site and entity. Group finance sees the actual provision before the half-year close, instead of taking the prior period and a growth assumption.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Wage cost per entity, award and cost centre tied to the GL, with leave liability priced at current rates. The half-year close stops waiting on a payroll spreadsheet, and the personnel-cost line on the management report ties back to the Zambion record it came from.

For sales leaders

For booking-led businesses, sales pipeline and forward bookings line up with rostered hours per venue, so commercial leaders see when a promotion will outrun the available roster and which venues quietly carry the cover.

For operations

Roster fill, no-shows, overtime and certification expiry across every site in one operating picture. Site and area managers see the venues drifting on labour cost or rebuild rate before the weekly trading meeting raises it.

Ideas

What you can automate with Readytech Zambion.

Pair with Xero

Post each pay run into Xero per entity and cost centre

After every Zambion pay run, payroll cost lands in Xero as journal entries in the right entity, with site, department and award split on the line. Group finance stops rekeying a payroll export per company file, and the wage line on the management P&L ties back to the Zambion record that produced it. Variances against the prior period get flagged before the controller starts month-end.

Pair with QuickBooks Online

Push Zambion payroll journals into QuickBooks Online

QuickBooks Online users running Zambion for payroll get a clean journal per pay period in the right company, with cost-centre, award and department coded on the line. The personnel-cost line on the QBO P&L stops being a single lump, and the bookkeeper does not rebuild a journal from a CSV every fortnight.

Pair with monday.com

Surface roster gaps and overtime on the operations board

Open roster slots, no-shows and overtime hours from Zambion feed an operations board in monday.com, so site and area managers act on the gaps the day they appear. A venue that runs three rebuilds by Wednesday lands as a card on the right board, with the named manager and the trend, instead of an end-of-week email that no one chases.

Pair with Slack

Automate the roster, certification and timesheet alerts

New rosters, expiring certifications and unsigned timesheets in Zambion drive the right Slack messages into the right channels: a roster-published note for the venue channel, a thirty-day expiry warning for the manager, and an approver ping when timesheets sit past the cutoff. Operations stops running a Friday morning chase by hand.

Pair with HubSpot

Tie HubSpot quota coverage to staffed sellers in Zambion

Active workers, joiners and leavers in Zambion keep the HubSpot quota-coverage view in sync with the staffed sales team per region, including ramp dates and territory assignments. Sales leadership sees when a region drops below coverage because a hire is delayed or a leaver has not been replaced, weeks before the pipeline report catches it.

Pair with Jira

Net engineering capacity against the Zambion roster

For services firms running billable timesheets in Zambion, active workers, approved leave and rostered hours feed the Jira sprint-planning view per team, so engineering leads size sprints against the people on the roster that week rather than a default capacity. When a senior role is open past its target start, the capacity number reflects the gap, and stakeholder commitments are made on the real roster.

Three steps

From Readytech Zambion to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Readytech Zambion connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Which Zambion tables land in the warehouse?

The connector pulls the employee register with contracts and pay rates, the published rosters with their version history, time and attendance records, leave requests with type and balance, payslip lines per pay period, and the award interpretations applied per shift. That covers the reporting surface most cross-functional dashboards need without a custom API job, and leaves the GL postings as a derived view on top of the payslip lines.

Does this affect our STP or IRD compliance?

No. Single Touch Payroll for Australia and IRD filings for New Zealand stay inside Ready Workforce by Zambion, which remains the system of record for compliance and for the Ready People app your staff use. The connector reads the same records out into your warehouse for reporting and downstream automations, without touching the lodgement path.

How does this work for groups running multiple entities in Zambion?

Each entity in Ready Workforce by Zambion lands as a tagged dataset in the same warehouse, so wage cost, headcount and leave liability roll up to the group while staying splittable per legal entity, country and currency. That is the structure most of our hospitality and transport groups use to consolidate AU and NZ operations on one P&L without losing the per-entity audit trail.
