About AdminPulse

The platform Belgian accountancy firms run on.

AdminPulse is a Belgian practice-management platform for accountancy firms, covering time tracking, planning, invoicing, task workflows and client-file administration. Where Silverfin handles the compliance output, AdminPulse handles the internal operation: who works on what, for how long, at what rate and how the firm invoices for it.

The point of pulling AdminPulse into a warehouse is that realisation leaks inside a firm the way it does in every service business, only harder to see. The partner meeting sees the invoice total. The warehouse sees the hours behind it, the write-off patterns per partner, the recurring-fee clients whose hours drift upward every year, and the engagements that stopped being profitable two quarters ago. Next to Silverfin, Exact Online or Teamleader Focus, AdminPulse becomes the firm's own P&L signal in real time.

What your AdminPulse data is for

What you get once AdminPulse is connected.

Firm-wide realisation reporting

Hours, invoices and realisation per client, partner and engagement.

  • Realisation per recurring-fee client across years
  • Partner and staff utilisation against target

Practice automation

Let AdminPulse events fire the rest of the firm's stack.

  • Timesheets push invoices to Billit for Peppol
  • Files ready for review land in Silverfin
  • Clients onboarded in AdminPulse flow into Exact Online

AI workflows

Use firm history to forecast risk and workload.

  • Realisation-risk scoring per client and partner
  • Workload forecast per skill and quarter
  • Fee-increase opportunity scoring on recurring engagements

Custom apps on your data

Internal tools on AdminPulse data for partners and office managers.

  • Partner workbench with loss-making engagements this quarter
  • Fee-review board for recurring clients
  • Office-manager utilisation dashboard

Real business questions

Answers you will finally get.

Which recurring-fee clients have quietly become unprofitable?

Hours at cost against the recurring fee per client, across twelve and twenty-four months. Ranks the clients whose fee has stayed flat while their hours drifted upward, which is where most firm margin disappears.

Where is realisation leaking, and under whose name?

Write-off pattern per partner, engagement type and client segment. Exposes the pattern that nobody in the partner meeting wants to say out loud, because the data makes it visible regardless.

Does the next quarter's pipeline match the capacity we have?

Committed engagement hours against planned capacity per skill and quarter, with contract end dates on the same view. Hire-or-reassign conversations move forward to the quarter before overtime starts.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Realisation, recurring-fee health and firm-level P&L tied to timesheet and invoice data. Fee-setting moves from gut feel to the client-by-client view of where margin is leaking.

For sales leaders

New-engagement pipeline, proposal-to-signed conversion and cross-sell per partner. Growth conversations stop leaning on who remembers which proposal is out.

For operations

Utilisation, timesheet completeness and workload forecast on one board. Resourcing and planning decisions are made against data, not against the loudest portfolio manager in the meeting.

Ideas

What you can automate with AdminPulse.

Pair with Silverfin

Connect AdminPulse files to Silverfin review

Client files marked ready in AdminPulse trigger the corresponding Silverfin working-paper set, with assignee, deadline and recurring-fee context carried over. The firm reviews in Silverfin on the same engagement metadata that AdminPulse already knows.

Pair with Exact Online

Flow AdminPulse invoices into Exact Online

AdminPulse invoices post to Exact Online with customer, VAT and ledger coding aligned. Partners see realisation against the recurring fee and the ledger view stays consistent for the audit, without double entry.

Pair with Yuki

Align AdminPulse clients with Yuki administrations

Dutch clients on Yuki stay linked to their AdminPulse client record, with hours booked against the file and fee tracked against the administration. One screen tells the firm whether the relationship is profitable, both sides considered.

Pair with Teamleader Focus

Chain Teamleader Focus engagements through AdminPulse

Smaller firms running Teamleader Focus for quoting and AdminPulse for practice management keep their client and project data aligned. Quotes sent in Focus become engagements in AdminPulse, and time booked there rolls back to Focus invoices.

Three steps

From AdminPulse to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • AdminPulse connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does the sync cover multi-office firms and partner-level reporting?

Yes. Each office lands with the right dimension and partner identity is preserved. Firm networks get per-office and per-partner realisation plus a group-level view, without merging timesheet data by hand.

Are recurring-fee contracts and hourly work kept apart?

Yes. Recurring-fee agreements, hourly engagements and fixed-fee projects come across as distinct constructs so realisation can be measured the way each engagement was sold. Mixing them in one average, which is where realisation conversations usually go wrong, stops happening.
