About AFAS

The Dutch ERP with people on the balance sheet.

AFAS is a Dutch family-owned software company founded in 1996 in Leusden, with HRM, payroll, finance, CRM and project administration in one integrated product. It is deeply localised for Dutch tax, labour and social security rules, which is the main reason more than twelve thousand Dutch organisations run their back office on it and the reason more than three million workers receive their payslip through it.

The point of pulling AFAS into a warehouse is that AFAS holds something most ERPs do not: the payroll and HR side next to the finance side, in the same source system. That makes AFAS the cleanest place in the Dutch market to ask how much the business costs to run per person, per project or per cost centre. Next to CRM, commerce and operational tools, it becomes the grounding layer for cost-of-delivery questions, not only for the bookkeeping.

What your AFAS data is for

What you get once AFAS is connected.

Finance-plus-HR reporting

P&L, cost-centre and people data on one page instead of three.

  • Revenue and cost per cost centre and per project
  • Staff cost and utilisation next to billable output
  • Working capital view with AR, AP and inventory aging

Cross-system automation

Keep AFAS in sync with the systems that feed and read it.

  • Salesforce closed-won into AFAS sales orders
  • Shopify orders into AFAS sales and stock
  • HubSpot customer masters matched to AFAS debtors

AI workflows

Use AFAS history to forecast headcount need, classify invoices and score risk.

  • Workforce-demand forecasting on project and contract pipeline
  • AI-assisted coding on supplier invoices
  • Credit-risk scoring on debtor payment history

Custom apps on your data

Small tools on AFAS data for people who should not need an AFAS licence.

  • Project-manager margin view with hours and cost
  • People-manager utilisation board without payroll detail
  • Finance-side working capital dashboard

Real business questions

Answers you will finally get.

What does the business cost to run per person?

Full labour cost, overhead allocation and billable output per employee and per team, rolled up to cost centre. Shows where the cost to serve is drifting ahead of the revenue served, before the P&L quarter does.

Which projects are profitable after labour cost?

Hours booked by staff against their internal cost rate, set against invoiced revenue per project. Separates the project that looks fine at gross level and loses money once the hours are costed, from the project whose margin is real.

Where is the next staffing bottleneck?

Project and contract pipeline translated into staffing demand, next to current absence and contract end dates. Brings the hire-or-stretch conversation forward to the quarter before the overtime starts.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Cost-centre P&L, working capital and full labour cost in one view. The close stops leaning on a payroll spreadsheet bolted onto the general ledger by hand.

For sales leaders

Gross margin per customer after labour cost allocation, plus AR aging visible before the next credit decision. A renewal conversation starts from whether the account earns its discount, not from the gut feel of the account manager.

For operations

Staff utilisation, contract end dates and project margin in one board. Hiring decisions, over-time planning and project staffing move from a Monday meeting to the trend the data already shows.

Ideas

What you can automate with AFAS.

Pair with Salesforce

Turn Salesforce opportunities into AFAS sales orders

Closed-won Salesforce opportunities drop into AFAS as sales orders with customer, item and pricing mapped, and AFAS invoice and payment status flows back to the opportunity. The Dutch enterprise pattern of Salesforce commercial plus AFAS back office stops needing a daily manual handoff.

Pair with HubSpot

Match HubSpot contacts to AFAS debtors and creditors

HubSpot contacts and companies align with AFAS debtor and creditor records, with VAT number, payment terms and credit status consistent in both. Sales sees AFAS payment history on HubSpot before offering new credit, and marketing stops emailing creditors that AFAS already flagged.

Pair with Shopify

Flow Shopify orders into AFAS sales and stock

Shopify orders land in AFAS as sales orders with items, pricing and VAT handled, and stock movements are posted. Refunds go back as credit notes. The webshop turns into a first-class channel in the AFAS P&L rather than a spreadsheet sitting next to it.

Pair with Teamleader Focus

Keep Teamleader Focus and AFAS aligned without double entry

For Dutch SMEs running Teamleader Focus for sales and services and AFAS for finance, HR and payroll, customers, quotations and invoices stay aligned between the two. Project managers keep their tool, finance gets one consolidated P&L with people cost included.

Data model

Tables we make available.

These are the 1 tables we currently pull from AFAS into your warehouse. Query them directly in SQL, join them to the rest of your stack, or build reports on top.

  • Connectors

Missing a table you need? We can extend the sync. Tell us what is missing and we will build it for you.

Your existing tools

Your data lands in a warehouse. Your BI tools read from it.

You keep the reporting tool you already have. We connect it to the warehouse where your AFAS data lives.

Three steps

From AFAS to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • AFAS connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does the connector work for AFAS Profit and AFAS SB?

Yes. AFAS Profit is the primary path, with HRM, payroll, finance and CRM as first-class schemas in the warehouse. AFAS SB, aimed at smaller businesses, lands a subset of those schemas. Groups running both products in different entities get them side by side, consolidated at group level.

How is payroll and HR data handled with respect to privacy?

Payroll and HR tables contain personal data, so access is scoped explicitly: identifiable columns are ring-fenced to HR and finance roles, while utilisation and cost-centre views use aggregated or pseudonymised data for other audiences. Retention and role-based access controls are agreed before the first payroll table lands in the warehouse.
