About Carfac

The ERP for Belgian garages, dealers and machinery distributors.

Carfac is a Belgian ERP from Oudenaarde, around 35 years old, used by close to 1500 companies. It comes in two product lines. Carfac-C is built for car garages, dealers and body shops. Carfac-M is built for machinery, agricultural and construction-equipment distributors. Both run customer management, work orders, parts and stock, quotes and invoicing, and integrated accounting in one product. Carfac-C also covers the vehicle register and Car-Pass, the replacement-vehicle pool, warranty invoicing and the workshop planning tool On Time.

The point of pulling Carfac into a warehouse is that workshop margin in a garage leaks one job at a time. A few extra hours on a repair, a part fitted that never made it onto the invoice, a warranty job whose internal booking does not match what the importer paid back. In a warehouse, the booked workshop hours per work order, the parts consumed against the quote, the warranty recovery against the manufacturer credit and the vehicle-history record sit next to the accounting ledger and the bank feed. The work order that is quietly losing money becomes visible before the month closes.

Real business questions

Answers you will finally get.

Which work orders are losing margin before they leave the workshop?

Booked hours plus fitted parts against the customer quote, in real time on the open work order. Flags the repairs that overran their estimate before the service advisor closes them, when the conversation with the customer or technician is still possible.

How much warranty work did the importer credit back?

Internal warranty bookings in Carfac against the credit notes that came back from the manufacturer or importer, per dossier. Exposes the dossiers where the recovery never landed and the parts where the credit consistently undershoots the booking.

Which customers have not come back inside their Car-Pass service interval?

Service history per vehicle against the expected interval, with the customer's contact and last invoice value. Turns the next campaign list into the customers most likely to come back, instead of a generic mailing to the full file.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Margin per work order, hours-not-yet-invoiced, parts margin per supplier and warranty recovery per importer, all tied to the Carfac accounting ledger. Month-end stops relying on what the service advisor can remember about which job.

For sales leaders

Vehicle-history value per customer, service-reminder hit rate against the Car-Pass interval and aftersales spend per make sold. The car you sold three years ago shows up next to the workshop revenue it produced, which is the number that compounds.

For operations

Bay load, technician hours, parts availability and replacement-vehicle pool per work order. Planning and ordering decisions run on the data the workshop already produces, not on the dispatcher's memory.

Ideas

What you can automate with Carfac.

Pair with Exact Online

Flow Carfac invoices into Exact Online

Sent invoices, credit notes and supplier bills from Carfac post into Exact Online with customer, VAT and ledger coding resolved. Belgian garage groups keep Carfac for the workshop and Exact Online for the books, without a weekly export.

Pair with Yuki

Send Carfac invoices to Yuki for fiduciary bookkeeping

Carfac invoices and supplier bills post into Yuki on the right client administration, with VAT and grootboek resolved. Accountants whose dealer clients run Carfac get the books done without rekeying.

Pair with HubSpot

Sync Carfac vehicle history into HubSpot

Customers and their vehicle history from Carfac land on the HubSpot contact record, with the next Car-Pass interval and last invoice value as properties. The sales rep calling about the new car sees the workshop history that backs the conversation.

Pair with MS Dynamics 365 Business Central

Push Carfac transactions into Dynamics 365 Business Central

Carfac sales, parts movements and AR/AP feed Business Central as the group ledger for dealer holdings that run multiple sites. Per-vestiging Carfac stays operational, the consolidated books and intercompany live in BC.

Data model

Tables we make available.

These are the 5 tables we currently pull from Carfac into your warehouse. Query them directly in SQL, join them to the rest of your stack, or build reports on top.

  • Customers
  • Purchase Invoice
  • Transactions
  • Vehicles
  • Work Orders

Missing a table you need? We can extend the sync. Tell us what is missing and we will build it for you.

Your existing tools

Your data lands in a warehouse. Your BI tools read from it.

You keep the reporting tool you already have. We connect it to the warehouse where your Carfac data lives.

Three steps

From Carfac to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Carfac connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does the connector cover both Carfac-C and Carfac-M?

Yes. Carfac-C (garages, dealers, body shops) and Carfac-M (machinery, agricultural and construction equipment) share the same data model in the warehouse, with a tag for which line a record came from. Groups that run both lines get one customer and parts dimension across the two.

Does the sync handle multi-site dealer groups?

Yes. Each Carfac vestiging lands in its own schema, with shared customer, vehicle and parts dimensions on top. Dealer holdings get per-site reporting and a consolidated view without merging exports by hand.
