About Clearfacts

Where Belgian SMEs and their accountant work the same file.

Clearfacts is a Belgian pre-accounting platform built around a shared portal between an SME and its external accountant. The client uploads or forwards purchase invoices, the system OCRs them into structured booking proposals, the accountant validates and posts them to the underlying ledger, and payments are prepared and signed off in the same flow. It was founded in Antwerp in 2013, joined Isabel Group along the way, and became part of Wolters Kluwer in September 2024 as part of the Isabel accountancy portfolio acquisition.

The platform sits next to a real ledger rather than replacing it: Clearfacts pushes booked invoices into Winbooks, Wings, Exact, Sage BOB, Adsolut, Odoo and the rest of the Belgian accounting stack, plus an open API for invoicing tools and CRMs around it. That makes the Clearfacts dataset the cleanest single view of what the SME spent and paid, well before the month is closed in the ledger. In a warehouse, that becomes early-warning data for cash, supplier concentration and approval bottlenecks.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does the sync cover multiple Clearfacts files for an accounting firm?

Yes. Each Clearfacts file lands in its own schema with shared supplier and chart-of-accounts dimensions on top. Accounting firms running tens or hundreds of client files can report per client, per portfolio and at firm level without exporting from each file by hand.

Do OCR-extracted line items come across, or only header data?

Both. Header fields like supplier, invoice number, date, total and VAT come across, and so do the OCR-extracted line items where available. That makes line-level analyses like supplier price drift and category-level spend possible, not just totals per invoice.
