Use your Eploy data for reporting, automation and AI.

Data Panda pulls your Eploy vacancies, candidates, applications, interviews, offers and talent pools into the same warehouse as your HRIS, finance and marketing data. From one place we turn it into dashboards, automations, AI workflows and custom apps that the in-house TA team, hiring managers, HR business partners and the people director read from on the same numbers.

About Eploy

An all-in-one talent acquisition platform built for UK mid-market in-house hiring.

Eploy has been developing recruitment software since 1998 and runs out of Eploy House in Kidderminster, Worcestershire. The product is the trading name of ITS Software Systems Ltd, registered in England and Wales, and the platform now sits behind more than 100,000 users at organisations ranging from around 150 to over 150,000 employees. Customer logos lean firmly into UK mid-market and large in-house hiring: HC-One, Manchester City Council, Vitality, Bidfood, Sunbelt Rentals, University of Leicester, Barratt Developments and Mencap among them, with sector strength across healthcare, retail and ecommerce, construction and infrastructure, education, financial services, facilities management, charities and engineering.

The platform bundles five modules into one record. The ATS handles requisitions, vacancies, candidate pipelines and configurable workflow stages with drag-and-drop pipelines, name-blind reviewing and structured interview scoring. The recruitment CRM holds talent pools and candidate engagement next to the ATS, so a candidate sourced for one role can be reused on the next. Offers and Onboarding covers offer letters, e-signatures and first-day activities. Recruitment Marketing posts to a marketplace of more than 3,000 job boards and channels, including LinkedIn, TotalJobs and CV-Library. Analytics ships self-service dashboards on hiring metrics. A RESTful API and integrations into HCM, payroll, assessment and video-interviewing tools cover the rest.

That breadth is also why Eploy in a warehouse pays back. Inside Eploy you can see how many vacancies are open this week and which candidates sit at which stage. What it does not show on its own is which job board is producing offers that survive their probation period, how a thirty-day time-to-hire on the careers site compares to the same role posted on LinkedIn after channel cost is subtracted, or which hiring managers are quietly losing their best shortlists at the interview-scheduling step. Those answers want Eploy vacancy, application and offer tables next to your HRIS leaver dates, your marketing-spend ledger and your finance cost-centre map.

Ideas

What you can automate with Eploy.

Pair with HiBob

Push Eploy hires into HiBob as new starters

When a candidate accepts an offer in Eploy, the new starter, role, manager, site and start date land in HiBob ready for onboarding, instead of an HR coordinator typing the same record into Bob from a PDF. Day-one access requests, equipment checklists and probation reviews all fire from the same employee profile, and the people team can finally compare offer-accepted dates in Eploy to actual start dates in Bob to see the real drop-off rate before probation.

Pair with Slack

Push the Eploy events that matter into the right Slack channel

New requisitions opened, offers accepted, candidates that withdraw after interview and shortlists waiting on hiring-manager feedback land in the right Slack channel: a wins channel for accepted offers, a recruiter channel for stalled requisitions and a hiring-manager DM when a shortlist sits past its target days. Recruiters stop refreshing Eploy to spot what already happened, and hiring managers stop forgetting that a shortlist is waiting on them.

Pair with Calendly

Connect Eploy interviews to Calendly slot booking

When a candidate moves to the interview stage in Eploy, the right Calendly link goes out so they can book an interviewer slot directly, and the booked slot lands back on the candidate timeline in Eploy without a recruiter playing diary tetris between three calendars. Hiring managers see their actual confirmed interviews in their own calendar, and the recruitment team gets a clean record of how long the interview-scheduling step is really taking.

Pair with HubSpot

Sync Eploy talent pools with HubSpot nurture campaigns

Talent pools in Eploy stay in step with HubSpot lists, so silver-medallist candidates and segments built around skills, location or seniority can be nurtured with the same email and content workflows the marketing team already runs. When a nurtured candidate re-applies, the engagement history travels with them into Eploy, so the recruiter sees a warm contact instead of a cold name.

Pair with monday.com

Track Eploy onboarding tasks on a monday.com board

When a candidate accepts an offer in Eploy, a new-starter board on monday.com fills automatically with the onboarding checklist for that role: laptop ordered, desk assigned, system access requested, manager intro scheduled, week-one training booked. Each owner picks up their task in their own monday view, and the TA team can see at a glance which new starters are at risk of a rough day one before the day arrives.

Pair with Exact Online

Match Eploy hiring activity to Exact Online cost centres

Vacancies and accepted offers in Eploy are tagged against the right Exact Online cost centre and project code, so finance sees committed payroll cost per cost centre as soon as an offer is signed, instead of waiting until the new starter shows up on the payroll run. Budget holders get a live view of where their hiring spend is going, and the people team can defend the recruitment-marketing line item against the offers it produced.

Three steps

From Eploy to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Eploy connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.
