About Ganttic

A Gantt chart that plans people, machines and rooms, not just tasks.

Ganttic is a resource planning platform built around a single drag-and-drop Gantt chart that schedules anything you bill or run a project with: people, machinery, vehicles, meeting rooms, rental gear. The product launched in August 2010 from Tartu in Estonia, with the team's roots going back to scheduling software for the wood industry in the early 2000s. Pricing is per resource on a paid PRO tier rather than per user, so the same plan can carry the whole crew.

What sets Ganttic apart is the resource-first model. A welder, a crane or a colour grading suite appears once on the timeline and gets booked across many concurrent projects, instead of being copied into a task list per project. Custom data fields hang off resources, projects and tasks, daily, weekly and monthly load views show where capacity sits, and the API on PRO plans exposes the same entities for read and write. That makes Ganttic a clean source of operational truth for engineering consultancies, AV crews, equipment rental firms, construction services and any other business that books shared assets across a portfolio of jobs.

What your Ganttic data is for

What you get once Ganttic is connected.

Capacity and project reporting

Every resource on the planner sitting next to its project, hours sold and hours scheduled.

  • Scheduled hours per resource by week and month, with billable share
  • Project portfolio view of bookings, deadlines and resource conflicts
  • Equipment and room load tracked next to maintenance and downtime

Schedule and back-office automation

Bookings, projects and resource changes flowing both ways between the planner and the rest of the stack.

  • New CRM deals turned into Ganttic projects with the right resource pool
  • Confirmed bookings written back to finance for forecasting and invoicing
  • Resource leave and maintenance synced from HR and asset systems

AI workflows

Use the booking history to forecast demand, spot conflicts and propose schedules.

  • Demand forecasting per resource group from historical bookings and pipeline
  • Conflict detection on overlapping bookings, skills mismatch and travel time
  • Suggested resource assignments based on past project profiles

Custom apps on your data

Small tools on Ganttic-plus-internal data for the people who run the schedule day to day.

  • Project manager view: budget, resource load and deadline on one card
  • Resource owner view: scheduled hours, leave and maintenance per asset
  • Sales view: which weeks still have capacity for the proposal on the table

Real business questions

Answers you will finally get.

Where is our capacity going next quarter?

Scheduled hours per resource group, broken out by project, client and billable type, with leave, maintenance and confirmed pipeline overlaid. Sales sees which weeks still take work, operations sees where people are stretched, and finance sees the booked revenue behind both.

Which projects are bleeding the most planned hours?

Project budget versus scheduled hours from Ganttic, refreshed at the cadence the planner gets touched, with the deltas ranked. Project managers see the burn before the month-end review, instead of finding out when the invoice is already short.

Who and what can we still book this week?

Per resource and resource group: scheduled hours, leave, maintenance and remaining capacity for the next two to four weeks, filtered by skill tag, location or equipment type. Sales answers the customer the same hour instead of waiting for the planner to come back from a site.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Scheduled hours from Ganttic feed forecast, work-in-progress and project margin reports next to the actuals from the books. Revenue recognition and cost allocation rest on what the planner has booked, not on month-end exports.

For sales leaders

Account managers see remaining capacity per skill, location or equipment type before they commit a delivery date, and confirmed deals create the right project shape in Ganttic without a hand-off ticket.

For operations

Schedulers and resource owners get a planner that talks back: leave from HR, maintenance from assets and confirmed deals from sales arrive on the timeline, and the cleaned booking data flows on to finance. The planner stops being the only place the truth lives.

Ideas

What you can automate with Ganttic.

Pair with Salesforce

Turn Salesforce opportunities into Ganttic projects

Won opportunities in Salesforce open the matching project in Ganttic with the right resource pool, deadline and custom fields prefilled. Account managers see scheduled hours and remaining capacity per resource group on the opportunity record, so commitments to delivery dates rest on the planner instead of a guess.

Pair with HubSpot

Sync HubSpot deals with Ganttic resource bookings

HubSpot deals in late pipeline reserve a tentative booking in Ganttic, and a closed-won deal turns it into a confirmed project. Sales sees who and what would have to be booked to deliver, and the planner stops getting hit with surprise jobs after the contract is already signed.

Pair with monday.com

Mirror Ganttic projects on monday.com boards

Each Ganttic project shows up as a board on monday.com with its tasks, deadlines and assigned resources, so project managers can run their day-to-day workflow there while the resource planner stays the source of truth for who is booked when.

Pair with Asana

Push Ganttic project tasks into Asana

Ganttic tasks land in the matching Asana project with assignee, due date and resource tag, and Asana completion status flows back to the planner. Teams that already live in Asana for delivery work keep their tooling without losing the resource view in Ganttic.

Pair with Exact Online

Feed Exact Online project margin from Ganttic bookings

Scheduled hours from Ganttic, valued at the right rate per resource, feed Exact Online project administration and work-in-progress lines next to the booked revenue. Project margin reports stop relying on month-end timesheets to be entered before the picture is real.

Pair with Slack

Push Ganttic schedule alerts into Slack

Booking conflicts, over-allocated resources and project deadline shifts are posted in the right Slack channel for the planner, project manager or resource owner. The conflict surfaces the day the planner moves, not at the next weekly review.

Data model

Tables we make available.

These are the 4 tables we currently pull from Ganttic into your warehouse. Query them directly in SQL, join them to the rest of your stack, or build reports on top.

  • Resources
  • Tasks
  • Users

Missing a table you need? We can extend the sync. Tell us what is missing and we will build it for you.

Your existing tools

Your data lands in a warehouse. Your BI tools read from it.

You keep the reporting tool you already have. We connect it to the warehouse where your Ganttic data lives.

Three steps

From Ganttic to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Ganttic connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Which Ganttic entities does the connector pull?

Resources, projects, tasks and the custom data fields hung off all three, plus users and groups. The relationships between them (which resource is booked on which task in which project, with which tags and skills) come across as well, so the warehouse holds the same picture the planner sees.

Do we need a specific Ganttic plan for the connector to work?

Yes. According to Ganttic's pricing, API access is included with the paid PRO plans rather than the free tier. The free tier (up to ten resources) does not expose the API, so a portfolio refresh into the warehouse needs at least a PRO subscription. Trial accounts can request API access directly from Ganttic to test the integration.

Can the connector reproduce Ganttic's load and capacity views?

Yes. Ganttic exposes scheduled hours per resource per period, and the connector lands those alongside the resource's nominal capacity, leave and maintenance windows. Daily, weekly and monthly load can be rebuilt in the warehouse and joined to project, client and finance data, which is exactly what most Ganttic teams want once they want to report beyond a single planner view.
