About Gripp

The Dutch project ERP for creative and digital agencies.

Gripp was started in Tilburg in 2012 and bought by Exact in April 2021, where it now sits as Exact Gripp. The product targets agency-shaped businesses: marketing and creative bureaus, digital studios, engineering and consulting shops, and other firms that sell projects rather than products. One platform stitches together quoting, project management, time tracking, capacity planning, light CRM and invoicing on hourly, fixed-fee and retainer arrangements.

Pulling Gripp into a warehouse is not about replacing its dashboards. It is about the questions that span modules: realised margin per project after cost-of-hours, billable-rate use per team, retainer revenue against retainer hours delivered, and the gap between booked capacity and the pipeline behind it. Those answers live across Gripp's projects, planning and invoicing tables; in a warehouse they sit next to your accounting, payments and marketing data.

What your Gripp data is for

What you get once Gripp is connected.

Agency-wide reporting

One picture of projects, hours, retainers and invoices instead of four screens in Gripp.

  • Margin per project after cost-of-hours and external spend
  • Billable-rate use per team and per role, rolling twelve weeks
  • Retainer hours delivered against retainer hours sold, per client

Studio-stack automation

Keep Gripp aligned with the tools around it without the weekly export.

  • Invoices into Exact Online with the right ledger and VAT code
  • HubSpot closed-won deals into Gripp project setup
  • Slack alerts when a project burns past its quoted budget

AI workflows

Use Gripp history to forecast slip and flag scope drift before invoicing day.

  • Project-slip forecast on hours-burn against milestones
  • Scope-creep flag when delivered hours outrun quoted hours
  • Retainer-renewal risk score on usage trend and ticket volume

Custom apps on your data

Internal tools on Gripp data for people who should not be opening Gripp.

  • Account-manager workbench with retainer status per client
  • Studio capacity board with planned versus billable hours
  • Finance view of hours-not-yet-invoiced per project and customer

Real business questions

Answers you will finally get.

Which retainer clients are quietly costing us money?

Hours delivered to each retainer client against the hours their contract pays for, with cost-of-hours layered in. Surfaces the accounts that look healthy on revenue but cross the breakeven line on delivered time, ranked by how much margin is leaking this quarter.

Where is our billable-rate use being lost?

Billable hours over total hours per team and per role, broken down by what the non-billable hours went into: internal projects, sales support, training or unbooked time. Tells the studio lead which bucket to attack instead of asking everyone to be more billable.

Is our capacity pipeline gap about to bite next quarter?

Planned capacity per skill against booked work plus the weighted pipeline behind it. Flags the role bands that are about to sit underused or the skills the agency is about to oversell, ten weeks before payroll feels it.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Hours at cost against invoiced revenue per project, plus retainer burn against retainer revenue per client. The month-end reconciliation between Gripp and Exact stops being a spreadsheet and becomes one query.

For sales leaders

Quote win rate by client segment and project type, next to which signed quotes turned into delivered margin and which became scope-creep losses. The next pricing call stands on history, not gut feel.

For operations

Capacity per skill against booked work and weighted pipeline, plus timesheet completeness by week. Studio leads can see the role band that is about to sit underused before it hits payroll.

Ideas

What you can automate with Gripp.

Pair with Exact Online

Push Gripp invoices into Exact Online

Sent invoices in Gripp land as sales journal entries in Exact Online with the right customer, VAT regime and ledger code. Credit notes and payment status flow back, so the bookkeeper closes the month without exporting two files. The pairing is natural: Exact owns Gripp since 2021, but most agencies still want their warehouse view of the seam in one place.

Pair with Yuki

Run Gripp next to Yuki without double entry

For agencies whose accounting sits in Yuki rather than Exact, sent Gripp invoices map to Yuki sales bookings with the right ledger and VAT, and incoming Yuki payments mark the Gripp invoice as settled. Account managers stop having to ask the bookkeeper which clients have paid.

Pair with HubSpot

Turn HubSpot closed-won deals into Gripp project setup

When a HubSpot deal hits closed-won, a draft project and quote land in Gripp with the right contact, company and deal value, ready for the project manager to staff. Quote sent, signed and invoiced states flow back to the HubSpot deal, so marketing sees which campaigns end in delivered revenue, not just signatures.

Pair with Slack

Alert Slack when a Gripp project burns past quoted hours

A channel ping fires when delivered hours on a project cross a threshold of the quoted budget, with the project manager and account manager tagged and a one-click link to the Gripp project. The conversation about scope-creep happens before the final invoice, not after the client pushes back.

Three steps

From Gripp to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Gripp connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

How does Gripp data relate to Exact Online data after the acquisition?

Gripp was bought by Exact in April 2021 and now ships as Exact Gripp, but the two stay separate products with their own data models and APIs. Most agencies still pull both: Gripp for projects, hours and the sales-side invoice, Exact Online for the general ledger and the rest of the accounting picture. The warehouse stitches them on customer and invoice keys.

Does the connector cover Gripp retainer contracts properly?

Yes. Retainer agreements, the hours sold per period, and the hours delivered against them are all in the model. That is what makes retainer-burn and renewal-risk reporting possible without exporting CSVs from each contract.
