About HighLevel

The agency operating system that runs every client on one platform.

HighLevel was founded in 2018 by Shaun Clark, Varun Vairavan and Robin Alex, is privately held, and is built specifically for marketing agencies that resell a CRM and marketing stack to their own clients. The agency sits at the top, every client they serve gets a sub-account (the platform calls it a location), and the whole thing can be skinned with the agency's branding. Inside a sub-account you find a CRM with contacts and opportunities, sales pipelines, funnel and landing-page builders, calendar booking, two-way SMS and email, social and chat conversations, online courses, payments, reputation management and a workflow engine that ties them together.

The reason to pull HighLevel into a warehouse is that the platform holds an unusual shape of data. An agency does not just have one pipeline and one contact list, it has dozens or hundreds of them, one per client, each with its own funnel performance, message volume, calendar bookings and Stripe payouts. Roll those up and you can answer the questions an agency lives or dies on: which sub-accounts are profitable to keep, which clients churn out of the white-label tier within ninety days, which funnel template converts across verticals, and where the agency's own MRR is leaking when a sub-account stops getting touched.

What your HighLevel data is for

What you get once HighLevel is connected.

Sub-account revenue and retention

Every client sub-account rolled up next to its own funnel performance, messaging volume and the agency MRR it pays.

  • Revenue per sub-account against agency white-label fee paid
  • Ninety-day retention curve per acquisition channel and tier
  • Funnel-to-payment conversion benchmarked across clients in the same vertical

Sub-account events into the agency stack

Keep HighLevel, the agency CRM and finance in step without rekeying client data.

  • New sub-account in HighLevel provisions the matching deal in HubSpot or Pipedrive
  • Stripe payout per sub-account reconciles against the invoice line in the agency books
  • Client churn in HighLevel surfaces as a renewal-risk task in the account manager queue

AI on the funnel and conversation history

Train AI on which funnels, messages and pipelines convert at sub-account level.

  • Funnel-template recommender ranked by conversion in similar verticals
  • Conversation classifier that learns which SMS thread shape books a calendar slot
  • Churn-risk score per sub-account from drop in workflow runs and conversation volume

Custom apps on your agency data

Internal tools for agency leadership, account managers and finance.

  • Agency dashboard with revenue, retention and platform usage per sub-account
  • Account-manager workbench showing which clients are quiet on the platform
  • Reseller P&L view tying HighLevel cost-of-platform to billed client revenue

Real business questions

Answers you will finally get.

Which sub-accounts are losing the agency money?

HighLevel sub-account, billing tier and platform usage joined to the actual revenue the client pays the agency. Surfaces the locations where SMS volume, AI minutes or rebill phone usage eats more than the client invoice covers, per account manager and per cohort.

Which funnel template should we reuse for the next plumber client?

Funnel template, vertical tag and conversion-to-booked-call ratio across every sub-account that ever ran it. Tells the agency builder which template to clone for the next client in the same trade, instead of starting from a blank workflow.

Where is a sub-account about to churn?

Drop in workflow runs, conversation volume and pipeline activity over the last fourteen days, scored per sub-account. Lets the account manager step in before the cancel email, with the specific signal (no new contacts, dead calendar, unread messages) that triggered the alert.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Platform cost (HighLevel agency tier, rebill phone, SMS, AI minutes) priced against the revenue each sub-account brings in. Finance can see contribution margin per client, the cohort that pays the white-label fee back inside three months, and the segment where the agency is subsidising tooling for clients that never grow.

For sales leaders

Sub-account opportunities, pipeline stage and closed-won pulled into one view across every client. Agency leadership stops asking each account manager for their HighLevel screenshot and starts working from a single picture of new business per vertical, per source and per builder.

For operations

Workflow runs, calendar bookings, conversation volume and review activity per sub-account in one picture. RevOps spots the locations where automations have silently broken, the calendars no one is filling, and the SMS numbers about to hit a carrier deliverability wall.

Ideas

What you can automate with HighLevel.

Pair with Stripe

Reconcile HighLevel payments with Stripe payouts

HighLevel order, invoice and payment events from every sub-account land next to the matching Stripe charge, refund and payout. Finance closes the month with one view that ties client-level transactions to the agency's Stripe deposits, instead of exporting CSVs from each location.

Pair with HubSpot

Mirror HighLevel sub-accounts as HubSpot deals

Each new HighLevel sub-account lands as the matching deal and company on the agency's HubSpot CRM, with usage signals (workflow runs, conversation volume, payment volume) mirrored on the deal. The agency runs new business and renewal forecasting in HubSpot while the work happens in HighLevel.

Pair with Slack

Push HighLevel churn signals into Slack

When a sub-account drops below the agency's activity threshold, when an SMS number hits a deliverability flag, or when a workflow stops firing, the alert lands in the right account-manager Slack channel with the sub-account, signal type and time window attached.

Pair with Exact Online

Bridge HighLevel revenue to Exact Online

Recurring agency invoices per sub-account and one-off charges from HighLevel post into Exact Online with the right cost centre and VAT code. The agency books revenue per client without retyping invoice lines from the HighLevel admin into the accounting tool.

Pair with Calendly

Combine Calendly and HighLevel calendars in one view

Sub-account calendar bookings from HighLevel sit next to Calendly meetings the agency books with its own prospects. Account managers see the full booking pattern (client-side calendar fill plus agency sales calls) without flipping between two tools.

Pair with monday.com

Drive monday.com tasks from HighLevel events

New sub-accounts, churn-risk signals and overdue conversation backlogs from HighLevel create the matching task on monday.com, routed to the right account manager with a due date. Project boards reflect the actual state of every client without weekly status meetings.

Pair with Intercom

Pair HighLevel client conversations with Intercom

End-customer chats inside HighLevel sub-accounts and Intercom support conversations on the agency's own product land in the same warehouse. Support reads one history per person across both surfaces, and the agency spots when a sub-account chat trail predicts an inbound support ticket.

Three steps

From HighLevel to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • HighLevel connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

How does the agency / sub-account / contact hierarchy land in the warehouse?

HighLevel calls the top-level entity an agency and the per-client workspace a sub-account (formerly location). We land each layer as its own table, with sub-account id propagated onto every contact, opportunity, conversation and payment row. Joins by sub-account roll up cleanly into per-client and per-cohort views without losing the agency identity.

Which HighLevel API version do you pull?

We pull from API V2 against the developer marketplace endpoints, since V1 reached end-of-support at the end of 2025. Webhooks are also wired through V2, so contact, opportunity, conversation and payment events stream in as the platform emits them, instead of waiting for the next batch poll.
