About Instantly.ai

Cold-email outreach built around mailbox warmup and rotation at scale.

Instantly was founded in 2021 by Raul Kaevand and Nils Schneider, who met running their own lead-generation agencies and built the first version of the product to solve their own infrastructure problem: keeping a large pool of sender mailboxes warm and rotating campaign volume across them. The platform launched as a SaaS shortly after and grew without outside funding, reaching reported figures of over 50,000 sales teams and a team of more than 200 people in under four years. The product today covers campaigns and sequences, a built-in lead database, email verification, an inbox placement tool, a sales CRM layer, an AI Copilot for reply handling and a sizeable warmup network the company describes as more than one million real accounts.

The reason to pull Instantly into a warehouse is that the platform is the activity surface for the SDR team that lives in the CRM and the calendar all day. Reply rate per sequence step, meeting booked per campaign, mailbox-by-mailbox deliverability, leads burned per win, the share of replies that turn into a calendared call: every one of those numbers exists inside Instantly, but the question that earns budget is asked next to closed-won pipeline in HubSpot or Salesforce and meetings on the rep's calendar. Putting the outreach data next to deal stage, segment and rep capacity turns a sequence dashboard into a list-quality plan, a mailbox-budget plan and a campaign-retire plan.

What your Instantly.ai data is for

What you get once Instantly.ai is connected.

Outreach, deliverability and reply reporting

Reply rate per sequence step, meeting booked per campaign and mailbox-level deliverability on data that refreshes with the rest of the warehouse.

  • Reply rate and positive-reply share per sequence step, against the volume that produced it
  • Mailbox-level deliverability score and bounce rate over time, per sending domain and per provider
  • Meetings booked and pipeline created per campaign, against the leads burned to get there

Outreach-event automation

Let a positive reply, a sliding deliverability score or a finished campaign trigger the rest of the stack.

  • Positive reply on a known account opens a Calendly slot for the AE and a follow-up task on the SDR's queue
  • Mailbox bounce rate climbing past a threshold pauses outbound on that mailbox and pings the deliverability lead
  • Campaign hits the configured exhaust point, leftover leads route to a different sequence or a manual review queue

AI workflows

Put outreach-pattern data behind AI that helps SDRs choose lists, copy and timing.

  • Best-time-to-send model per persona and per region, against the historical reply curve
  • Sequence-step rewrite suggestions from underperforming step copy, scored against the team's own winners
  • List-segment ranker that scores new lead lists by similarity to lists that already booked meetings

Custom apps on your data

Small internal tools on Instantly metadata for SDR leads, RevOps and finance.

  • SDR scoreboard with replies, meetings and pipeline per rep against active leads in flight
  • Deliverability board with mailbox health, warmup status and bounce trend across all sending domains
  • Cost-per-meeting view per campaign that joins Instantly seat and mailbox spend with calendared meetings

Real business questions

Answers you will finally get.

Which sequence step is the one that books meetings?

Replies per step against meetings calendared from that reply, joined to the campaign and the lead list. Sales leadership sees that step three carries most of the meetings on one campaign while step one carries them on another, and the sequence rewrite goes after the steps that are doing nothing instead of the steps that already work.

Which mailboxes are quietly burning sender reputation?

Inbox-placement score, bounce rate and warmup status per mailbox over a rolling window, against the volume each mailbox sent. The deliverability lead pulls the mailboxes whose score has been sliding for two weeks before the bounce wave arrives, pauses them, lets the warmup network do its work and brings them back, instead of finding out at the next campaign launch.

What does a meeting booked through Instantly really cost us?

Instantly seat cost, mailbox cost and verification cost per campaign, against the meetings that were held from that campaign. Sales leadership compares cost per held meeting across campaigns, ICPs and SDRs, and decides which campaigns deserve more mailbox budget instead of looking at a flat reply rate that hides what each meeting truly cost.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Instantly seat count, mailbox count and verification spend per team next to the meetings booked and pipeline created. Finance sees which campaigns return real pipeline per dollar of outreach spend and which seats sit unused, instead of a flat per-seat figure at renewal.

For sales leaders

Reply rate, positive-reply share and meetings booked per SDR and per campaign, joined to HubSpot or Salesforce deal stage. Sales leadership separates SDRs whose volume turns into pipeline from SDRs whose reply counts look healthy but whose meetings rarely close, and coaches on the specific sequence step where each SDR loses the conversation.

For operations

Mailbox health, bounce rate, warmup status and sender-domain trend on one board, joined to the campaign calendar. RevOps pauses a sliding mailbox or rotates volume to a healthier domain before the next campaign launch, instead of finding the dip in the next deliverability postmortem.

Ideas

What you can automate with Instantly.ai.

Pair with HubSpot

Sync Instantly replies and meetings into HubSpot

Positive replies on Instantly campaigns create or update the matching HubSpot contact and add a timeline event with campaign, sequence step and reply text. Meetings booked from a reply land on the deal as an activity, and HubSpot workflows fire when the contact's intent moves from cold lead to engaged conversation. SDRs stop copy-pasting replies into HubSpot and the lifecycle stage updates itself.

Pair with Salesforce

Push Instantly campaign activity to Salesforce leads and contacts

Instantly sends, opens, replies and meetings push to Salesforce as activities on the matching lead or contact, and a positive reply can convert the lead and create an opportunity owned by the territory rep. Sales-ops reports talk about pipeline created per Instantly campaign in the same Salesforce dashboards that already report on inbound, and the SDR no longer logs a cold-email reply by hand.

Pair with Slack

Surface positive replies and deliverability alerts in Slack

Instantly fires a Slack notification when a campaign gets a positive reply, when a mailbox bounce rate climbs past the threshold and when a campaign exhausts its lead pool. The SDR pod sees the hot reply within minutes and acts on it, the deliverability lead sees the sliding mailbox before the next campaign starts, and nobody needs to keep the Instantly tab open all day.

Pair with Calendly

Drop a Calendly link into the right reply at the right time

A positive reply on an Instantly campaign triggers an outbound message with the right rep's Calendly link based on territory, ICP segment and campaign owner, and the booked meeting writes back to Instantly as a meeting on the lead. Reply-to-meeting funnel data is complete in one warehouse view and the SDR is not playing calendar tetris between two tabs.

Pair with monday.com

Track campaign launches and lead-list intake on monday.com

Campaign briefs, lead-list intake and copy reviews live on a monday.com board, and Instantly sync turns each launched campaign into a board item with status, owner and live metrics. Marketing and SDR-ops share one view of what is in copy review, what is queued for warmup and what is already in flight, instead of trading screenshots on a weekly call.

Pair with Intercom

Hand a hot Instantly reply to the right Intercom inbox

When an Instantly reply on an existing customer comes back with intent that belongs to support or success rather than new sales, the message and history hand off to the right Intercom team inbox with the campaign and the sequence step attached. Account managers stop discovering relevant conversations weeks later in a forwarded email thread, and the SDR pipeline does not get clogged with non-sales replies.

Three steps

From Instantly.ai to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Instantly.ai connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does the connector pull warmup-network data or just my own mailboxes?

The connector pulls metadata for your own mailboxes: warmup status, deliverability score, bounce rate, send and reply volume, plus the campaigns and leads attached to your account. The internal warmup pool that Instantly operates between accounts is the platform's infrastructure, not customer data, and stays inside Instantly. The deliverability questions most teams have, such as which sending domain is sliding and which mailbox needs a pause, are answered from the metadata on your own accounts.

How does this differ from an Apollo or Outreach connector?

Apollo bundles a large prospect database with sequences and a lighter sending layer; Outreach is a sales-engagement suite built around the AE and SDR workflow with email, dialer and tasks at the core. Instantly is narrower and shaped around one job: scaling cold-email volume across many sender mailboxes with warmup and rotation, with a lead database and a CRM layer added on top. The connector reflects that. Reply rate and meetings-booked numbers look comparable across the three, but the Instantly pull is most valuable when the team's outbound motion depends on running a wide pool of sender mailboxes with deliverability as a first-class metric.
