About Octopus

The Belgian accounting backbone for SMEs and their fiduciary.

Octopus is a 100% Belgian, cloud-based accounting and invoicing platform built by Inaras, founded in 2002. It is used by more than 2,600 Belgian accountants and over 90,000 client files, with a single shared workspace between the SME owner and the external accountant. Sales and purchase invoices, financial transactions and miscellaneous entries land in the standard Belgian journals (verkoopdagboek, aankoopdagboek, financieel, diversen), with VAT codes wired in for the periodic BTW-aangifte and the annual listings.

The platform is built around a real Belgian general ledger, a CODA bank flow and a certified Peppol Access Point for e-invoicing. Octopus also exposes an open REST API, which is what makes the underlying invoice, customer, supplier and VAT-line data reachable outside the bookkeeping screen. In a warehouse, that turns Octopus from a closing tool into the single tidiest source of revenue, spend and tax-code data for every Belgian SME on the platform.

What your Octopus data is for

What you get once Octopus is connected.

Reporting on the booked ledger

Revenue, spend and VAT-position data tied to Octopus journals, ready for the operational side of the business.

  • Revenue per customer, salesperson and VAT regime, straight from the verkoopdagboek
  • Spend per supplier, cost centre and aankoopdagboek line
  • VAT-position per period and per code, weeks before the BTW-aangifte is filed

Workflow automation

Let operational systems and the accountant act on the same Octopus events.

  • New customer in the CRM creates the matching Octopus relation with the right VAT regime
  • Booked sales invoice triggers a follow-up in the operational system without re-keying
  • CODA-matched payment closes the open item in the front-office tool

AI workflows

Use the booked Octopus history to coach the next document instead of correcting it after the fact.

  • Auto-suggest GL code and VAT code on inbound purchase invoices, based on twelve months of bookings
  • Flag invoices that fall outside the supplier's normal pattern before they reach the accountant
  • Score customers on payment behaviour using the open AR file and CODA history

Custom apps on your data

Internal tools on Octopus data for people who shouldn't sit in the bookkeeping screen.

  • Salesperson view of revenue and outstanding invoices per customer
  • Project margin app combining Octopus revenue and spend with a project code
  • Open-AR follow-up app for the office manager without giving access to the full ledger

Real business questions

Answers you will finally get.

Which customers are growing in revenue but slipping in payment behaviour?

Twelve-month trend of booked turnover per customer crossed with their average payment lag from the open AR file and CODA. Picks up the customer that's quietly become more important and at the same time more expensive to finance, before the credit note discussion lands on your desk.

What is our real VAT position weeks before the next aangifte?

Live position per VAT code, per period and per journal, on the bookings already in Octopus. Tells you whether the next BTW-aangifte will be a payment or a refund early enough to plan cash, instead of finding out the week the file has to be sent.

Where is the margin leaking, by cost centre?

Revenue and posted cost from Octopus joined per cost centre or project against the budget. Shows the cost centre where the gross margin is quietly two points below plan and the supplier line that is the reason, three weeks before the close.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Revenue, AR aging, VAT position and cost-centre margin from Octopus tied to one another in real time. The accountant keeps owning the close, and finance leadership stops waiting for the close to find out where the business stands.

For sales leaders

Open invoices, payment behaviour and customer revenue history in front of the salesperson at the moment they renew or upsell. Stops the conversation where the rep is the last person in the room to know the customer is two months overdue.

For operations

Booked spend per cost centre and project visible inside the operational system, without the team needing access to the full ledger. Operations sees the cost the day the supplier invoice is processed in Octopus, not three weeks later in a PDF.

Ideas

What you can automate with Octopus.

Pair with AdminPulse

Sync Octopus client files with AdminPulse dossiers

Client masters and engagement data in AdminPulse stay in step with the Octopus dossiers and bookings the same client generates. Belgian fiduciaries running both stop maintaining two parallel client lists, and time, billing and the actual books reconcile against the same source.

Pair with Silverfin

Feed Silverfin with Octopus closing data

Booked journals, open AR and AP and VAT-position data from Octopus land in Silverfin so the periodic and year-end working papers reconcile against what the SME already approved. Working-paper review starts on the same numbers the client sees in their own portal.

Pair with Yuki

Bridge Octopus and Yuki across BeNeLux client portfolios

For accounting firms running Octopus for Belgian clients and Yuki for Dutch clients, bookings, customers, suppliers and VAT lines from both land in one warehouse. Cross-border groups get a single consolidated view of revenue, spend and AR instead of two side-by-side back offices.

Pair with Clearfacts

Pair Octopus and Clearfacts on the same supplier flow

Purchase invoices captured and approved in Clearfacts and posted into Octopus end up in one warehouse, with the OCR-extracted line items, approval status and final booking joined per document. The accountant keeps Octopus as the source of truth and the front office sees committed spend the day the invoice arrives.

Pair with HubSpot

Surface Octopus revenue and AR on HubSpot accounts

Customer matches between HubSpot and Octopus put booked revenue, open invoices and average payment lag on the CRM record. Account managers see whether the customer they're about to renew is one whose invoices keep landing two weeks overdue, before the proposal goes out.

Pair with Slack

Push Octopus AR alerts into Slack

Open invoices that pass a chosen aging threshold post to a Slack channel for the right account owner, with customer, amount and number of days overdue visible. The reminder lives where work happens, instead of in an open-AR list nobody opens between closes.

Three steps

From Octopus to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Octopus connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does the sync cover multiple Octopus files for an accounting firm?

Yes. Each Octopus file lands in its own schema in the warehouse, with shared customer, supplier and chart-of-accounts dimensions on top. Accounting firms with tens or hundreds of client files can report per client, per portfolio and at firm level without exporting from each file by hand.

Do VAT codes and CODA bank lines come across, or only the booking headers?

Both. Booking headers, VAT codes per line and CODA-matched bank movements all come over. That is what makes a live BTW-aangifte preview and a real cash position possible from Octopus data, not just totals per journal.
