Officient is a cloud HR platform built in Ghent for Belgian SMBs. It is the place where the personnel file, contracts, leave and time off, onboarding, documents, expenses and the company fleet sit in one product, with the data shaped to feed the monthly payroll run at the social secretariat. The product was started in 2017 by a team that came out of Teamleader and is now part of the Exact group, which slotted it in next to the Belgian accounting and ERP suite for SMBs that wanted a modern HR layer on top.

The Officient connector pulls that surface into your warehouse: people, contracts, departments, teams, functions, cost centres and cost units, the calendar requests behind every leave and sick day, expense categories, fleet and assets, and the custom person fields most Belgian SMBs build up over time. Once it lands in the warehouse next to your accounting, CRM and project tooling, the questions HR and finance keep asking get straightforward answers. Personnel cost per cost centre against budget. Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Which Officient tables land in the warehouse?

The connector pulls People, Contracts, Departments, Teams, Functions, Cost Centers, Cost Units, Calendar Requests (the records behind every leave, recup and sick day), Expense Categories, Fleet, Assets, Asset Types, Person Custom Fields and Webhooks. That covers the personnel, contract, leave, fleet and expense surface most BE SMB HR, finance and operations dashboards need without a custom API job.

How does this relate to our social secretariat (SD Worx, Acerta, Securex)?

Officient is the HR-admin and prep layer that feeds your social secretariat each month: the personnel file, contracts, calendar requests, expenses and fleet sit in Officient, and the loonrun itself runs at the secretariat. The Officient connector covers what you can see and act on in Officient. If you also want the loonrun output (gross, employer premiums, wage components per cost centre) in the same warehouse, the SD Worx Cobra or SD Worx Absences connectors join on the employee identifier.

HR data is sensitive. How is that handled in a warehouse?

Personnel and leave data is personal and covered by GDPR, so we set role-based access on the HR tables, keep team-manager dashboards aggregated where possible, and work with your DPO on the lawful-basis mapping. Custom person fields that hold particularly sensitive data (medical attestations, disciplinary notes) can be excluded from the sync, or kept in a restricted schema only HR roles reach. This is not data we treat like invoice lines.
