About Plenion

The Belgian ERP for installation trades.

Plenion is a Belgian ERP for installation and construction firms in HVAC, electrical and renewable energy, alarm, and infrastructure. The platform has been on the market since 2004 and is in use at more than 750 SMEs. It runs project management with post-calculation, quotations, work orders, multi-warehouse inventory, Peppol e-invoicing and service contracts with recurring maintenance schedules.

Hours and materials come in through the MyPlenion app while the technician is on site, and wholesaler price lists from Cebeo, Van Marcke, Desco, FACQ, Viessmann and Heytec land in each project through ShopConnect. Plenion offers API access that makes projects, work orders, hours, materials and invoices available outside the platform for reporting and connection to your accounting system.

What your Plenion data is for

What you get once Plenion is connected.

Installation-business reporting

Project margin, recurring service revenue and technician utilization in one picture, not five Plenion screens.

  • Project margin after hours, materials and wholesaler-price drift
  • Service-contract recurring revenue, by trade and by region
  • Technician utilization across work orders and travel time

Cross-system automation

Connect Plenion events with the rest of the firm's stack.

  • Outgoing invoices flow into Exact Online journals
  • Closed deals in Teamleader Focus open Plenion projects
  • Bank payments matched in Ponto close Plenion invoices

AI workflows

Use the firm's project history to coach the next quote and the next staffing call.

  • Project-slip forecast from hours-and-materials burn
  • Service-contract churn risk before renewal
  • Quotation pricing suggestion against wholesaler price drift

Custom apps on your data

Internal tools on Plenion data for office managers and project leads.

  • Project board with margin against offer this week
  • Service-contract dashboard for the maintenance manager
  • Technician planner with skill, hours and travel zone

Real business questions

Answers you will finally get.

How does this month's project margin compare to what we quoted at offer stage?

Offer value minus actual hours at internal rate minus actual material consumption per project, rolling four weeks. The management meeting moves from "we think it landed OK" to a per-project list of where the firm earned, broke even or bled.

Which service-contract customers are at real risk of cancelling at renewal?

Maintenance compliance, technician hours invested, billing-versus-contract spread and customer communication frequency, scored across the live contract base. Renewal calls go to the right customers in the right order, instead of the alphabet.

Which trades and regions are quietly losing money for the firm?

Project margin and service-contract margin per trade (HVAC, electrical, sanitary, alarm) and per region, rolling twelve months. Tells the management team whether to keep selling alarm work in Antwerp at last year's rates or to walk back into HVAC in West Flanders.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Project P&L, service-contract recurring revenue and AR ageing tied to Plenion data. Pricing decisions on the next quotation use last quarter's actual margin per trade, instead of the offer template.

For sales leaders

Quotation win rate by trade and customer segment, with the post-job margin loop closed. Sales conversations go from "we hope this lands" to a margin track record the salesperson can defend.

For operations

Technician utilization, work-order ageing and stock-turnover signals on one board. Field planning decisions land on data, not on the loudest service manager in the morning meeting.

Ideas

What you can automate with Plenion.

Pair with Exact Online

Flow Plenion invoices and project costs into Exact Online

Plenion outgoing invoices and project cost lines post to Exact Online with customer, VAT and project coding aligned. The firm matches Plenion project margin against the booked ledger reality, instead of running two separate exports each month-end.

Pair with Teamleader Focus

Open Plenion projects from Teamleader Focus closed-won deals

When a deal closes in Teamleader Focus, the matching Plenion project opens with customer, quotation amount and salesperson context attached. The handover from CRM to project execution stops being a re-keying step, and the sales-to-job margin loop closes inside the same warehouse view.

Pair with Ponto

Match Ponto bank payments to Plenion invoices

The aggregated Ponto bank feed sits beside Plenion outgoing invoices in the warehouse. The office sees which customers paid on time, which slid past thirty days, and which structurally need a deposit on the next offer, without rebuilding the AR list every Monday morning.

Pair with Mailchimp

Trigger Mailchimp campaigns from Plenion service history

Customers whose service contract ends in ninety days, whose installation hits ten years next quarter, or whose last maintenance visit was longer ago than the SLA all land in segmented Mailchimp lists. Renewal and replacement campaigns target the right customers, not the whole address book.

Pair with Microsoft SharePoint

Tie Plenion projects to SharePoint document folders

Plenion project metadata maps to SharePoint folder structure, with drawings, certificates and attestations linked back to the project. The office finds the technical document by project, not by remembering whose folder it landed in.

Three steps

From Plenion to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Plenion connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does the field data captured in the MyPlenion mobile app sync to the warehouse?

Yes. Hours, materials, service stops and signed completion notes captured in MyPlenion all land in the same Plenion tables we sync. The warehouse sees the field reality, not just what the office posted later.

Are the ShopConnect wholesaler price feeds usable in reporting?

Yes. The ShopConnect-fed material prices used in Plenion projects land in the warehouse alongside the actual invoice values. Material-cost drift between offer and execution becomes visible per project, instead of getting absorbed silently in the post-calculation.
