About QuickBooks Online

The cloud accounting standard for North-American small and mid-sized business.

QuickBooks Online is Intuit's cloud accounting platform for small and mid-sized businesses, with around eight million subscribers worldwide and a strong base in the US, Canada, the UK and Australia. It covers invoicing, bills, customers and vendors, items and inventory, the chart of accounts, journal entries, deposits and payments, with native bank feeds, QuickBooks Payments and QuickBooks Payroll plugged into the same ledger.

Around it sits one of the largest accounting app stores in the market: a CRM tile, a POS tile, an AP tile, an expense tile, often three or four extra add-ons per company. We land the QuickBooks ledger and those neighbouring systems in your warehouse together, so customer-aging, project margin and the cash position become a live view across the whole stack instead of a month-end export from QuickBooks that someone reconciles by hand.

Real business questions

Answers you will finally get.

Which customers quietly stretched their payment terms this quarter?

Per-customer payment behaviour from QuickBooks lands in the warehouse on the invoice and bill timeline. The customer who drifted from net-30 to net-55 shows up on the trend, with the open balance and the next renewal date next to it, before the collections schedule is set.

Do the QuickBooks numbers still agree with the connected app store?

QuickBooks ledger totals are reconciled against the upstream systems sitting in the QuickBooks app store, like the POS, the e-commerce store and the payment gateway. Gaps between the source system and the booked entries are flagged at the day they happen, instead of surfacing in a year-end review.

Where is the cash going to be in the next 13 weeks?

Open AR with each customer's actual paying-rate, plus recurring invoices and AP due dates from QuickBooks, drive a rolling 13-week cash view. The founder sees a likely-paid date per invoice, not just the original due date, so the next hire or supplier-prepay decision has a real number behind it.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

AR aging, AP due-date stack and bank-reconciliation status on one view, with QuickBooks Payments and QuickBooks Payroll lined up against the ledger. Month-end becomes a review, not a reconciliation marathon.

For sales leaders

Customer payment history and credit status visible at the moment of the deal, not after the contract is signed. New net-30 quotes are checked against the customer who already pays in 60.

For operations

Class, location and project detail tied to QuickBooks Payroll and inventory items. Operations sees which lines are absorbing labour and stock, before it shows up as a slimmer margin number.

Ideas

What you can automate with QuickBooks Online.

Pair with Stripe

Reconcile Stripe payouts to QuickBooks invoices

Stripe payouts are matched to the QuickBooks invoices they paid, with fees split per charge and per currency, and refunds posted as credit notes against the original invoice. The controller sees net cash per invoice and per customer, instead of a weekly Stripe lump that has to be broken apart by hand.

Pair with Shopify

Post Shopify orders into QuickBooks Online

Shopify orders land in QuickBooks Online as sales receipts or invoices with the right product mapping, sales-tax code per jurisdiction and refunds flowing back as credit notes. Product revenue and the QuickBooks ledger stay aligned per day, instead of needing a monthly bookkeeper export from the Shopify admin.

Pair with HubSpot

Turn HubSpot deals into QuickBooks customers and invoices

Closed-won HubSpot deals create QuickBooks customers with the right billing address and tax setup, and prepare the first invoice or recurring profile against the agreed line items. Sales sees the QuickBooks payment history on the HubSpot record before quoting net-30 to a customer who already pays in 60.

Pair with BILL (Bill.com)

Pair BILL AP automation with the QuickBooks ledger

Vendor bills approved in BILL post into QuickBooks Online with the right account, class and project, and BILL payment events match back to the QuickBooks bill they cleared. The AP team works in BILL, the controller sees one consistent view of payables in QuickBooks, with no double-entry between the two tools.

Three steps

From QuickBooks Online to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • QuickBooks Online connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does the sync cover multiple QuickBooks Online companies?

Yes. Each QuickBooks Online company file lands in its own schema, with a shared customer, vendor and chart-of-accounts dimension on top. Groups running more than one QuickBooks company get per-entity reporting and a consolidated view at group level, without merging spreadsheets by hand.

Are classes and locations part of the sync?

Yes. QuickBooks Online classes and locations come across as first-class fields on every transaction that has them. Class and location P&L can be derived in the warehouse instead of relying on the QuickBooks profit-and-loss-by-class report as the only source.
