About Scoro

The end-to-end work platform for consultancies and agencies.

Scoro bundles project management, time tracking, sales and CRM, quoting, retainer and recurring billing, invoicing, cost and expense tracking, resource planning and reporting into one platform. The product is built for consultancies, creative and marketing agencies, architecture and design firms, engineering and IT services, and event teams. Scoro counts more than a thousand professional-services companies as customers and runs strong in the UK and Nordics.

Pulling Scoro into a warehouse is not about replacing its dashboards. It is about the questions that span modules: realised project margin after cost-of-hours and external spend, retainer hours delivered against retainer hours sold, the recurring-revenue book against the project book, and the gap between booked capacity and the pipeline behind it. Those answers live across Scoro's projects, quotes, time, retainers and invoices; in a warehouse they sit next to your accounting, payments and marketing data.

What your Scoro data is for

What you get once Scoro is connected.

Firm-wide reporting

One picture of projects, time, quotes, retainers and invoices instead of a tab per module in Scoro.

  • Margin per project after cost-of-hours and external spend
  • Billable-rate use per role, rolling twelve weeks
  • Retainer hours delivered against retainer hours sold, per client

Service-firm-stack automation

Keep Scoro aligned with the tools around it without the weekly export.

  • Invoices into Xero or Exact Online with the right ledger and tax code
  • HubSpot closed-won deals into Scoro project setup
  • Slack alerts when a project burns past its quoted budget

AI workflows

Use Scoro history to forecast slip and flag scope drift before invoicing day.

  • Project-slip forecast on hours-burn against milestones
  • Scope-creep flag when delivered hours outrun quoted hours
  • Retainer-renewal risk score on usage trend per client

Custom apps on your data

Internal tools on Scoro data for people who should not be opening Scoro.

  • Account-manager workbench with retainer status per client
  • Capacity board with planned versus billable hours
  • Finance view of hours-not-yet-invoiced per project and customer

Real business questions

Answers you will finally get.

Which retainer clients are quietly drifting over their contract?

Hours delivered to each retainer client against the hours their contract pays for, with cost-of-hours layered in. Surfaces the accounts that look healthy on revenue but cross the breakeven line on delivered time, ranked by how much margin is leaking this quarter.

How does our recurring-revenue book compare with the project book?

Recurring billing lines, retainer revenue and project revenue split by client and quarter, with renewal dates and churn flags layered in. Tells the partner team whether next quarter's number rests on locked-in recurring or on a pipeline of one-off projects still to be sold.

Is our capacity pipeline gap about to bite next quarter?

Planned capacity per role against booked work plus the weighted pipeline behind it. Flags the role bands that are about to sit underused or the skills the firm is about to oversell, ten weeks before payroll feels it.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Hours at cost against invoiced revenue per project, plus the recurring-revenue book against the project book per client. The month-end reconciliation between Scoro and your accounting tool stops being a spreadsheet and becomes one query.

For sales leaders

Quote win rate by client segment and project type, next to which signed quotes turned into delivered margin and which became scope-creep losses. The next pricing call stands on history, not gut feel.

For operations

Capacity per role against booked work and weighted pipeline, plus timesheet completeness by week. Team leads can see the role band that is about to sit underused before it hits payroll.

Ideas

What you can automate with Scoro.

Pair with Xero

Push Scoro invoices into Xero

Sent invoices in Scoro land as sales transactions in Xero with the right contact, tax code and tracking category. Credit notes and payment status flow back, so the bookkeeper closes the month without exporting two files. The pairing is the typical UK consulting stack: Scoro for the project and the retainer, Xero for the books.

Pair with Exact Online

Run Scoro next to Exact Online without double entry

For consultancies in Belgium and the Netherlands whose accounting sits in Exact Online rather than Xero, sent Scoro invoices map to Exact sales bookings with the right ledger and VAT regime, and incoming Exact payments mark the Scoro invoice as settled. Account managers stop having to ask the bookkeeper which clients have paid.

Pair with HubSpot

Turn HubSpot closed-won deals into Scoro project setup

When a HubSpot deal hits closed-won, a draft project and quote land in Scoro with the right contact, company and deal value, ready for the project manager to staff. Quote sent, signed and invoiced states flow back to the HubSpot deal, so marketing sees which campaigns end in delivered revenue, not just signatures.

Pair with Slack

Alert Slack when a Scoro project burns past quoted hours

A channel ping fires when delivered hours on a project cross a threshold of the quoted budget, with the project manager and account manager tagged and a one-click link to the Scoro project. The conversation about scope-creep happens before the final invoice, not after the client pushes back.

Three steps

From Scoro to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Scoro connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

How is pulling Scoro different from pulling Gripp or Simplicate into a warehouse?

The core questions overlap (project margin, retainer burn, capacity versus pipeline) but Scoro covers a wider bundle in one platform: sales and CRM, quoting, project management, time, retainer and recurring billing, invoicing and cost tracking. The warehouse mapping reflects that breadth, and the recurring-revenue and retainer book layers usually carry more weight than they do for a project-only PSA.

Does the connector cover Scoro retainers and recurring billing properly?

Yes. Retainer agreements, recurring invoice schedules, the hours sold per period and the hours delivered against them are all in the model. That is what makes retainer-burn, recurring-revenue mix and renewal-risk reporting possible without exporting CSVs from each contract.
