Sympa connector

Use your Sympa data for reporting, automation and AI.

Data Panda pulls your Sympa employee records, employments, contracts, absences, performance reviews and custom fields into the same warehouse as your finance, sales and operations data. From one place we turn it into dashboards, automations, AI workflows and custom apps that HR, finance and country leads use during the month, not only on the morning of a board meeting.

About Sympa

The HRIS Nordic and European mid-market groups pick when one tool has to cover every country.

Sympa was founded in 2005 in Lahti, Finland by Keijo and Taina Karjalainen, and grew into a Nordic HRIS that mid-market employers run across multiple countries from one tenant. Providence Strategic Growth took a majority stake in 2020, and in September 2022 Sympa joined Recruitee, Javelo and kiwiHR under the Tellent group, where Sympa keeps its own brand and core HR product. Customer logos lean into the multi-country mid-market the platform was built for: BMW, Dustin, Lindex, Forex, Normal, Svea Solar and A-lehdet, with the platform live in over 100 countries through customer rollouts.

Sympa covers the HRIS scope a 200-to-5,000-employee employer expects from one tool: the people record with custom fields per country, employments and contracts, organisation and reporting lines, absences and time off, salary review, performance and competence, learning, workflows and analytics. The product integrates with the local payroll engines each country runs rather than running payroll itself, which is why the gross-to-net side stays in tools like SD Worx, Visma, Fortnox or Nmbrs while the master record stays in Sympa. Pulled into a warehouse next to Salesforce, HubSpot, Exact Online and the local payroll exports, the Sympa record finally answers the questions a Sympa export alone does not: time-to-fully-onboarded per country, absence concentration per site this quarter, salary review throughput per manager and BU, and how the Finnish-Swedish-Dutch entities compare on headcount-versus-plan from one screen.

Real business questions

Answers you will finally get.

Are headcount and personnel cost per country tracking against the approved plan in every entity?

Active workers, pending starts and contract endings in Sympa per legal entity and country, joined to the approved headcount plan and the local payroll export. Group finance sees the country where headcount sits four FTE under plan while personnel cost runs eight percent over budget because two senior contracts replaced three junior ones, instead of waiting on a country-by-country email roundup.

Where is absence concentration starting to bite delivery this quarter?

Approved absences in Sympa per site, BU and policy category, mapped onto the delivery roster from the operations system. The COO sees the warehouse in Sweden where overlapping parental leave and a sickness wave will cut floor capacity by twelve percent in week thirty-eight, weeks before the operations weekly catches it.

Are managers closing the salary review cycle on time across every country?

Salary review records in Sympa per manager, BU and country, against the cycle deadline and the salary policy band per country. The reward leader sees the Dutch entity where forty percent of reviews are still open three weeks past the deadline, and which managers carry the overdue load, instead of trusting a green tick on the cycle dashboard.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Sympa headcount and contract cost per legal entity and country, lined up with the local payroll export and the approved plan. Group close stops waiting on a personnel-cost roundup per country, and the personnel-cost line on the management report ties back to the Sympa record it came from.

For sales leaders

Quota coverage against the staffed seller roster from Sympa per country, with start dates and ramp windows. Sales leadership sees when DACH mid-market falls below coverage because two AE roles slipped past their target start, before the country forecast call surfaces it.

For operations

Joiner onboarding state, absences, contract endings and headcount across countries in one capacity picture. The COO sees which country office is letting joiners drift past day thirty without finishing onboarding and which sites carry the absence concentration this quarter.

Ideas

What you can automate with Sympa.

Pair with Salesforce

Match Salesforce seat cost to Sympa-staffed reps and ARR per rep

Active sellers, ramp dates and territory assignments in Sympa keep the Salesforce quota-coverage view in sync with the staffed sales team per country. Revenue leaders see when DACH mid-market drops below coverage because two AE roles slipped past their target start, weeks before the country forecast call catches it. Joined to closed-won ARR per owner, the Salesforce seat cost stops being a flat licence line and becomes a number per rep that carries against the revenue they closed.

Pair with HubSpot

Tie HubSpot pipeline coverage to the Sympa-staffed sales and marketing roster

Active reps, marketers and ramp dates in Sympa per country anchor the HubSpot pipeline-coverage view to the team carrying it on the ground. Revenue ops sees the Benelux pipeline running below coverage because the Dutch BDR seat has been open three months, while the German pipeline is over-coverage on a single AE who started six weeks late and is still ramping. Marketing-influenced pipeline per country can finally be read against the marketing headcount that produced it, instead of as a flat HubSpot dashboard.

Pair with Slack

Drive joiner and leaver Slack moments from the Sympa timeline

Joiner records in Sympa post a welcome message on day one in the country team channel and ping the manager when an onboarding step has been waiting longer than the agreed window per country. Leaver records do the reverse: a manager ping when access revoke has not closed within the policy window, and an HR-channel summary on the cases that drifted past policy. People ops stops running a weekly handoff queue across HR and IT by hand.

Pair with monday.com

Sync Sympa joiner and onboarding state into monday.com workflows

Joiner records in Sympa create the onboarding board in monday.com on day one, with the country-specific tasks IT, facilities and the hiring manager carry. Status moves on the board feed back to the Sympa record so the onboarding cycle close in Sympa reflects the work that closed in monday. People ops stops running the onboarding handoff in two tools and a spreadsheet, and the time-to-fully-onboarded number per country becomes a real measurement instead of a guess.

Pair with Exact Online

Reconcile Exact Online personnel-cost lines with the Sympa headcount per entity

Sympa headcount, contracts and salary band per worker per legal entity land in the warehouse next to the personnel-cost lines posted in Exact Online per country. Group finance sees the Dutch entity where a personnel-cost line shows three FTE more than Sympa carries, the Belgian entity where two contract endings did not yet flow through to the GL, and the variance per cost centre named instead of trapped in a per-country export. Group close stops running a personnel-cost reconciliation in a workbook the day before reporting.

Pair with HiBob

Land the Sympa-to-HiBob migration on a single warehouse record

Groups acquired into a Sympa-running parent often inherit a HiBob tenant in one or two countries, and the move from one HRIS to the other rarely happens overnight. The warehouse holds the worker, contract, absence and salary band record from both, keyed on the same employee identity, so group HR keeps reporting on headcount, absences and salary bands during the migration window without waiting on the move to finish. Once the country switches over, the HiBob feed retires and the Sympa record carries the country alone, without losing the historical view group HR was already running.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Sympa connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Which Sympa tables land in the warehouse?

The connector pulls the People register with custom fields per country, Employments and Contracts, Organisation and reporting lines, Absences with type and policy, Salary review records, Performance and Competence records, Documents metadata and Tasks. Learning records and workflow logs land where your tenant has those modules enabled. Authentication runs through a Sympa service-user API token scoped to your tenant.

Does Sympa run payroll, and how do you handle that in the warehouse?

Sympa is the master record for the workforce but does not run gross-to-net payroll itself; each country runs its own payroll engine, often SD Worx, Visma, Fortnox or Nmbrs. The warehouse holds the Sympa employee, contract and salary band record on one side and the local payroll export per country on the other, joined on the same employee key. That is what makes a personnel-cost line on the management report tie back to the Sympa record it came from, per legal entity and per cost centre.

What about Sympa custom fields per country?

A lot of Sympa value sits in the custom fields each country tenant added for its own legal and operational reality, from Finnish union codes to Dutch CAO bands. The connector pulls the custom-field schema per country and the values per worker into the warehouse so country-specific reporting still works, while group-level dashboards run off the standard fields shared across every country. New country fields added in Sympa flow through on the next sync.
