About Teamleader Focus

The Ghent-born work platform for service businesses.

Teamleader was founded in Ghent in 2012 and joined the Visma group in 2022. Teamleader Focus is their SME product: one tool that stitches CRM, quotations, invoicing, time tracking, expenses and lightweight project management together for agencies, consultancies, installateurs and other service-shaped companies. The company reports more than 34,000 customers across Belgium, the Netherlands, Germany, France, Spain and Italy.

The point of pulling Teamleader Focus into a warehouse is not that Focus lacks dashboards. It is that the questions worth asking tend to cross the modules: hours worked versus hours invoiced, margin by project versus margin by customer, quotation win rate by segment, utilization per team. Those answers live inside Focus in pieces; in a warehouse they sit side by side, and next to your accounting, webshop or marketing data.

What your Teamleader Focus data is for

What you get once Teamleader Focus is connected.

Service-business reporting

One picture of hours, invoices, projects and deals instead of four tabs in Focus.

  • Margin per project and per customer after cost-of-hours
  • Billable ratio per consultant and per team
  • Hours worked but not yet invoiced, by project

Cross-system automation

Keep Focus in sync with what sits around it, without the weekly copy-paste.

  • Invoices into Exact Online or another accounting tool
  • HubSpot closed-won deals into Focus quotations
  • Stripe payments reconciled back to Focus invoices

AI workflows

Turn Focus history into forecasts and scoring that steer the next quote or staffing call.

  • Project-slip forecasting on hours burn rate
  • Customer-health scoring from invoices and tickets
  • Scope-creep flags when hours outrun quotation value

Custom apps on your data

Small internal tools on top of Focus data for people who should not be learning Focus.

  • Billable-today dashboard for team leads
  • Customer-health board for account managers
  • Utilization planner with actual versus planned hours

Real business questions

Answers you will finally get.

Which projects are quietly losing money?

Hours worked multiplied by a cost rate, set against invoiced revenue and external costs per project. Flags the project that burned through its budget before the scope was done, ranked by how much margin is at risk this quarter.

Which consultants are billable enough to pay for themselves?

Billable hours as a share of total hours per consultant, rolling twelve weeks, next to their full cost. Shows the team members whose ratio dropped below the threshold that keeps them profitable.

How many hours have we worked but not yet invoiced?

Timesheet entries booked to billable projects that have not yet made it to an invoice. Broken down by customer and by project manager, so the weekly invoicing meeting stops relying on gut feel.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Hours worked times cost rate against invoiced revenue, per project and per customer. No more month-end spreadsheet between Teamleader Focus and the accounting package to reconcile what was booked with what was billed.

For sales leaders

Quotation win rate by industry and deal size, plus the deals that signed but never produced a first invoice. See which salesperson closes on scope that gets built.

For operations

Utilization per team and per consultant, projects whose hours are outrunning their quotation value, and timesheet completeness by week. Staffing calls stop being made on a Monday feeling.

Ideas

What you can automate with Teamleader Focus.

Pair with Exact Online

Push Teamleader Focus invoices into Exact Online

Sent invoices in Teamleader Focus land as sales journal entries in Exact Online with the right customer, VAT treatment and GL coding. Credit notes and payment status flow back, so the accountant closes the month without exporting two CSVs.

Pair with Odoo

Run Teamleader Focus next to Odoo without double entry

For organisations where sales and services live in Teamleader Focus and stock, purchasing and manufacturing live in Odoo, we keep customers, products and invoices in sync. Project managers keep their tool, the finance team gets one consolidated P&L.

Pair with HubSpot

Turn HubSpot closed-won deals into Teamleader quotations

When a HubSpot deal reaches closed-won, a draft quotation appears in Teamleader Focus with the right contact, company and deal value. Quotation sent, signed and invoiced states flow back to the HubSpot deal, so marketing sees which campaigns end in paid work.

Pair with Stripe

Reconcile Stripe payments back to Teamleader invoices

Stripe payouts and payments are matched to the Teamleader Focus invoice they settle, including partial payments and refunds. The receivables list in Focus reflects what Stripe has already cleared, not what the bank still has to book.

Three steps

From Teamleader Focus to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Teamleader Focus connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Does this connector cover Teamleader Orbit as well?

This page is Teamleader Focus only. Orbit is a separate product with its own data model, aimed at agencies of twenty-plus people, and it has its own connector in our catalog. Groups running both end up with two schemas in the warehouse and a union view on top, not one.

Can the sync handle Teamleader Focus API rate limits?

Yes. We use incremental sync on the webhooks and updated-at fields that Teamleader Focus exposes, so we only pull the records that changed. The initial backfill is staged, and the steady-state sync keeps well under the published rate limits even on larger tenants.
