About Teamleader Orbit

The Ghent-born platform for agencies past twenty people.

Teamleader Orbit is the sister product to Teamleader Focus, aimed at service agencies with twenty or more employees. It covers capacity planning, budget control, time tracking, project management, CRM, quoting and invoicing, and now supports Belgian e-invoicing compliance on top. Like Focus, it is built in Ghent and sits inside the Visma group.

The point of pulling Orbit into a warehouse is that an agency past twenty people has a P&L problem that the Orbit UI answers per project and less easily across the whole business. Billable utilisation per team, realisation rate on fixed-fee work, budget burn against milestone delivery and margin per client across two years all live on top of Orbit's structured data. Next to accounting, payments and support, the agency's economics become one dashboard instead of a Monday partner meeting.

What your Teamleader Orbit data is for

What you get once Teamleader Orbit is connected.

Agency-wide reporting

Utilisation, realisation and margin across the whole studio, not one project at a time.

  • Billable utilisation per team and per consultant
  • Realisation rate on fixed-fee work, per client
  • Margin per client across twelve and twenty-four months

Studio-stack automation

Let the rest of the stack react to what Orbit already saw.

  • Signed quotes trigger project setup with the right team
  • Budget burn fires a partner alert before the overrun
  • Invoices land in the accounting system with VAT already right

AI workflows

Turn Orbit history into forecasts that outrun the monthly partner call.

  • Project-slip forecasting on hours burn rate
  • Pricing suggestions on similar past engagements
  • Capacity demand forecast per skill over the next quarter

Custom apps on your data

Internal tools on Orbit data for people who should not be in Orbit.

  • Partner workbench with projects at risk this week
  • Team-lead capacity board with billable versus planned
  • Finance-side view of hours-not-yet-invoiced per client

Real business questions

Answers you will finally get.

Which clients are profitable after realisation?

Margin per client after hours at cost, external costs and the realisation rate on fixed-fee work. Separates the prestige client whose margin is gone by invoice time, from the steady client whose work lands inside budget and inside scope.

Where is utilisation hiding a non-billable reality?

Billable hours per consultant against total hours, with non-billable categories broken out. Exposes the team whose utilisation looks fine because internal work gets booked billable, and the team whose real billable mix is already below target.

Which projects are heading to overrun before their next review?

Budget used against milestone progress on active projects, with the rate of burn projected forward. Flags the projects that will run out of budget before their next scheduled review, when a conversation is still possible.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Hours worked at cost against invoiced revenue per project, plus realisation rate on fixed-fee work. Month-end stops being a reconciliation between Orbit and the accounting system, and starts being a view built on one dataset.

For sales leaders

Quotation win rate per segment, average deal size and conversion from quote to first invoice. Sales conversations start on what closes into profitable work, not on what sounds exciting in a new-business meeting.

For operations

Capacity demand, billable utilisation, timesheet completeness and budget-slip risk on one board. Staffing and replanning decisions move from a Monday call to the trend the data already shows.

Ideas

What you can automate with Teamleader Orbit.

Pair with Silverfin

Feed Teamleader Orbit invoices into Silverfin

Sent invoices and credit notes from Orbit push into the firm's Silverfin environment for year-end work, with customer and VAT mapping respected. The accountancy firm reviews on the same dataset the agency closes on, no second extraction needed.

Pair with HubSpot

Hand HubSpot-sourced deals to Orbit projects

HubSpot closed-won deals create quotations and then projects in Orbit with the right team and budget. Project status, invoice state and realisation flow back to the HubSpot deal, so marketing sees which campaigns produce work that makes money.

Pair with Stripe

Reconcile Stripe payments to Orbit invoices

Stripe charges and payouts match back to Orbit invoices on reference and amount. Agencies on retainer see which invoices have cleared and which are still outstanding without rebuilding the view from two tools.

Pair with Salesforce

Close the loop between Salesforce and Orbit

Closed-won Salesforce opportunities create Orbit projects with budget and team, and Orbit realisation and invoice state flow back to the opportunity. Groups running Salesforce for sales and Orbit for delivery see the same cycle from both sides.

Data model

Tables we make available.

These are the 1 tables we currently pull from Teamleader Orbit into your warehouse. Query them directly in SQL, join them to the rest of your stack, or build reports on top.

Missing a table you need? We can extend the sync. Tell us what is missing and we will build it for you.

Your existing tools

Your data lands in a warehouse. Your BI tools read from it.

You keep the reporting tool you already have. We connect it to the warehouse where your Teamleader Orbit data lives.

Three steps

From Teamleader Orbit to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Teamleader Orbit connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

How does this connector differ from the Teamleader Focus one?

They are separate products with separate data models. Focus is aimed at smaller service businesses and keeps the workflow lightweight. Orbit is aimed at agencies past twenty people and adds capacity planning, budget control and multi-entity support. Groups running both get two schemas and a combined view, not one.

Does the connector handle Belgian e-invoicing inside Orbit?

Yes. Outgoing and incoming Peppol invoices processed through Orbit land in the warehouse as structured documents, with envelope, line items and status history. That makes the 2026 mandate a source of structured data in reporting, not a second piece of compliance work.
