About Timely

Where automatic timesheets become business data.

Timely is an automatic time tracking platform for agencies, SaaS companies and professional services teams that need trusted hours without asking people to rebuild their week from memory. It captures work, helps teams approve timesheets, and organises time around projects, clients, tags, budgets, forecasts and people.

Inside Timely, that data helps the team submit and approve hours. In a warehouse, the same data answers the questions that sit across tools: which projects are burning budget, which approved hours are ready to bill, which teams are over capacity, and which clients still look profitable after the real delivery time is counted.

What your Timely data is for

What you get once Timely is connected.

Utilization reporting

Approved hours, budgets and capacity in one view, joined to the project and client they belong to.

  • Billable and non-billable hours per person, role and team
  • Budget burn by project, with planned time and actual hours side by side
  • Unbilled approved hours by client, project and aging bucket

Billing and budget alerts

Let Timely hours start the next step in finance, delivery and project management.

  • Approved hours create an invoice review queue for finance
  • Projects crossing a budget threshold notify the project lead and account owner
  • New external projects create matching work items in the PM tool

AI workflows

AI can reason over Timely data once hours are joined to CRM, PM and finance context.

  • Explain why utilization moved by team, role or client
  • Spot likely budget overruns from burn rate and forecast changes
  • Suggest tag cleanup where time entries are approved but reporting categories drift

Custom apps on your data

Small internal tools for people who need Timely answers without another seat in Timely.

  • Billing review screen for approved hours not yet invoiced
  • Capacity planner that combines Timely forecasts with sold work
  • Project margin app for delivery leads and finance

Real business questions

Answers you will finally get.

Which clients consume margin before the invoice shows it?

Timely hours can be joined to project budgets, rates and invoice value per client. That shows the clients where delivery time grows faster than billable value, while the work is still active enough to fix scope, staffing or pricing.

Where does planned work differ from actual logged time?

Forecasts and planned time sit next to the hours people approved in Timely. Delivery leads see whether the gap comes from new work, under-estimated tasks or missing timesheets, instead of waiting for a monthly project review.

Which approved hours are ready for billing but still sitting in Timely?

Approved hours are grouped by project, client, billing status and age. Finance gets a review list for month-end, with the project owner and missing reference data shown on the same row.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Unbilled hours, billing lag and project margin come out of Timely before month-end pressure starts. Finance sees which approved hours are ready, which projects need a rate check, and which client margin has changed since the quote.

For sales leaders

Renewals and new scopes get context from the work already delivered. Sales can see whether a client was profitable, whether the team has capacity for the next phase, and whether the next proposal needs a different rate or shape.

For operations

Capacity, budget burn and timesheet completeness sit in one operating view. Operations can spot overload, missing hours and project drift before the next weekly planning call turns into opinion trading.

Ideas

What you can automate with Timely.

Pair with QuickBooks Online

Prepare QuickBooks invoices from approved Timely hours

Approved Timely hours are grouped by client, project and billing code before they flow into a QuickBooks Online invoice review. Finance keeps control over the final invoice, but the hours, rates and project references are already lined up before month-end.

Pair with Xero

Send billing-ready Timely hours to Xero

Timely hours that passed approval become a billing queue for Xero, matched to the right customer and project. The bookkeeper no longer rebuilds project totals from CSV exports, and project leads can still review exceptions before anything is booked.

Pair with Asana

Match Timely hours to Asana delivery work

Timely projects and time entries are matched to Asana projects, tasks and owners in the warehouse. Delivery teams see estimated work next to approved hours, while finance gets the same project view without asking someone to copy data between tools.

Pair with Linear

Compare Linear cycle work with Timely actuals

Linear issues, projects and cycles are joined to Timely hours so product and engineering leaders can compare planned work with the time that was approved. Useful when delivery looks green in Linear but team capacity tells another story.

Pair with Jira

Join Jira epics with Timely budget burn

Jira epics and tickets are tied to Timely projects and approved hours. Project leads see which epic is consuming the budget, while leadership can compare delivery pace, logged time and scope changes in one dashboard.

Pair with Google Calendar

Compare calendar load with Timely hours

Google Calendar meetings are joined to Timely hours so teams can see how much capacity meetings take from delivery work. The result is a practical view of meeting load, billable time and focus time by team.

Pair with Slack

Post Timely budget and timesheet alerts in Slack

Projects crossing a budget threshold, missing timesheets and unbilled approved hours post to the right Slack channel. The alert reaches the project lead while the project is still moving, instead of becoming a month-end surprise.

Three steps

From Timely to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Timely connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Can we sync raw Memory activity data from Timely?

No. Timely treats Memory activity as private API data, so we do not build reporting on raw Memory events. We focus the connector on the public business data Timely exposes for reporting and workflow use, such as approved hours, projects, labels or tags, forecasts and related workspace data.

Which Timely changes can trigger near-real-time workflows?

Timely documents webhook events for forecasts, hours, labels and projects, including created, updated and deleted events. Those events are useful for alerts and follow-up actions, while the warehouse sync keeps the historical reporting layer complete.

Can Timely projects be reconciled with PM and finance tools?

Yes, when the matching keys are agreed upfront. We usually match on project IDs, external references, client names, billing codes or controlled tags, then expose exceptions where Timely, the PM tool and the finance system disagree.
