About ValidSign

A Dutch e-signature platform built around eIDAS and EU data residency.

ValidSign was founded in 2014 and operates from Eefde in the Netherlands. The platform was acquired by Visma in July 2023 and continues to operate under its own name within the Visma group. According to the company, more than 3,500 organisations use the platform and over 1,500,000 documents are signed through it each month, with strong adoption in accountancy, healthcare, housing, government and education across the Benelux.

ValidSign supports the three signature levels defined under the EU eIDAS regulation: standard, advanced and qualified. Identity checks can run through SMS, email or iDIN bank verification, and every document carries a tamper-proof audit trail. The platform is ISO 27001, ISO 9001, NEN 7510, ISAE 3402, GDPR and FDA compliant, and all data stays inside the EU. Native connectors exist for SharePoint, Salesforce, SAP, Microsoft Dynamics, AFAS, Exact, HubSpot and Microsoft Power Automate, and a REST API with Java and .NET SDKs covers the rest. The product is organised around documents, signers, signing flows, templates, statuses and audit events, which is exactly the model a warehouse needs to report against contracts, onboardings and HR paperwork as part of one operational picture.

What your ValidSign data is for

What you get once ValidSign is connected.

Document and signature reporting

Signing time, stuck documents and template usage across the whole document estate.

  • Median and 90th-percentile signing time per template, per department and per document type
  • Documents sitting with the counterparty for more than N days, by document owner
  • Template usage and decline rate per template, with the signer step that triggered the decline

Document automation

Let signed documents drive the rest of your stack, instead of someone forwarding the signed PDF to the next team.

  • Closed deals or HR offers auto-generate the ValidSign document from the right template, with the customer or employee data pre-filled
  • Completed documents trigger the customer or employee record and the next step in the operational system
  • Documents stuck for more than N days post a follow-up task in the owner's queue, with the counterparty contact attached

AI workflows

Put your real document estate behind AI that knows your templates, your signers and the deals or hires that produced them.

  • Detection of clause edits in negotiated documents that compares each version to the source template
  • Auto-summary of incoming counterparty changes, queued into the right reviewer's task list
  • Risk scoring on long-pending documents based on signer behaviour, document type and counterparty history

Custom apps on your data

Small tools on ValidSign data for people who do not live in the ValidSign console.

  • Document pipeline view per owner, with signing-flow status next to deal, customer or employee record
  • Template-performance explorer showing decline rates and median signing time per template
  • Compliance cockpit showing identity-check method, signature level and audit-trail completeness per document

Real business questions

Answers you will finally get.

Where does the time really go between sent and signed?

Per document, the split between time waiting on internal review, time waiting on the counterparty and time waiting on the next signer in line. Median and 90th percentile per template, per department and per document type. Tells you whether to fix the internal handover or coach the owners whose counterparties go quiet.

Are we using the right signature level for each document?

Share of standard, advanced and qualified signatures per template and per document type, joined to the identity-check method that was used. Surfaces templates where a low-friction standard signature is being applied to documents the legal team would have asked for advanced or qualified on.

How long between a signed document and the next operational step?

Days between completed document and the first downstream event: the invoice in the accounting system, the employee in payroll, the case opened in the operational system. Pulls the gap that finance or HR usually feels into a number that ops can attack.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Signed contracts joined to invoiced revenue. Finance sees how many closed deals are still waiting on a signed document before they can be billed, and how long the document-to-invoice gap is per deal type.

For sales leaders

Per-owner document pipeline with signing-flow status next to deal or account. Sales reps see which buyers went quiet on which document, and audit-trail completeness flags the contracts that compliance will send back later.

For operations

A company-wide view of template performance, signer bottlenecks and signature-level mix. Ops fixes the templates that produce the most declines and the workflows where the wrong signature level is being used.

Ideas

What you can automate with ValidSign.

Pair with Salesforce

Generate ValidSign documents from Salesforce opportunities

Closed-won Salesforce opportunities trigger the matching ValidSign document from the right template, with the deal terms, signer contacts and quoted price pre-filled. Document status flows back to the opportunity record, so AEs see whether the contract is out, signed or stuck without leaving Salesforce, and sales ops gets a clean signing-time breakdown per rep and per template.

Pair with HubSpot

Push HubSpot deals into ValidSign documents

When a HubSpot deal hits the contract stage, the matching ValidSign document is generated from the template tied to the deal type. Signer events update the deal timeline, so the rep sees the buyer's signing activity next to the rest of the engagement. Completed documents flip the deal stage and feed the campaign-attribution report on the back end.

Pair with Exact Online

Turn signed ValidSign contracts into Exact Online customers and invoices

Completed ValidSign documents for signed contracts create or update the customer in Exact Online and queue the first invoice based on the contract terms. The accounting team stops re-keying the signed PDF, the document-to-invoice gap drops to hours instead of days, and the link between the signed document and the resulting invoice survives in the warehouse for revenue reporting.

Pair with MS Dynamics 365 Business Central

Land ValidSign-signed contracts in Microsoft Dynamics 365 Business Central

Completed ValidSign documents create or update the customer in Business Central and post the sales order or first invoice based on the signed contract terms. Document URL, signature level and signer identity travel with the record, so finance has the proof of agreement next to the booking instead of in a separate folder.

Pair with AFAS

Trigger AFAS HR onboarding from a signed ValidSign offer

A signed ValidSign offer letter or amendment kicks off the AFAS onboarding flow: the employee record is created or updated, the contract metadata is filed against the personnel file and the first payroll run is queued. HR sees one timeline from offer sent to first salary, instead of stitching ValidSign timestamps and AFAS records together by hand.

Pair with Slack

Post ValidSign document updates in the right Slack channel

Sent, viewed, signed, declined and stuck-too-long document events post a compact update in the Slack channel that owns the deal, the customer or the hire, with a link back to the document. Owners hear about a stuck contract before someone has to ask, and compliance sees declines and identity-check failures without watching their inbox.

Data model

Tables we make available.

These are the 9 tables we currently pull from ValidSign into your warehouse. Query them directly in SQL, join them to the rest of your stack, or build reports on top.

Three steps

From ValidSign to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • ValidSign connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.
