About Zoho Invoice

Free invoicing for freelancers, agencies and small teams.

Zoho Invoice is a cloud invoicing tool covering invoices, estimates, recurring invoices, retainers, credit notes, expenses, projects and time tracking. Zoho moved it to a fully free model in 2022 as a top-of-funnel into the wider Zoho One suite, and it now sits with freelancers, agencies and small operators in dozens of countries. Multi-currency, ten-plus invoice languages, country-specific tax handling and a customer portal come built in, with eight regional datacenters covering the EU, US, India, Australia, Canada, Japan, China and Saudi Arabia.

In a warehouse, the Zoho Invoice ledger sits next to the rest of a small operator's stack: the CRM that won the deal, the calendar tool that booked the session, the payment gateway that settled the invoice, the email tool that runs nurture. Revenue per project, AR aging per client, billable-versus-unbilled hours and the gap between estimate and final invoice become a live picture instead of a quarterly export the founder pulls before the accountant asks.

Real business questions

Answers you will finally get.

Which projects are quietly losing money?

Time entries and expenses booked against a project sit next to the invoiced revenue for the same project in the warehouse. Projects where logged hours plus posted expenses outrun what was billed surface early, with the burn per week, so the conversation about scope or rate happens before the next milestone is invoiced.

Which clients are slipping on payment terms?

Zoho Invoice payment events feed a rolling DSO per customer. Clients drifting from a steady fourteen-day pattern to forty-plus show up early, with the open balance and the trend line, so the dunning email or the friendly call goes out before it becomes a write-off conversation.

How much retainer is left this month, per client?

Retainer invoices and time entries are joined on the project, so the warehouse shows hours used against the contracted block per client, with the burn rate against the days remaining. Account leads see who is over, who is under and who is about to need a top-up, on a weekly review instead of in a panic at month-end.

Value for everyone in the organisation

Where each function gets value.

For finance leaders

Invoiced revenue, AR aging and DSO on one view, with Zoho Invoice records, payment-gateway settlements and bank cash on the same line. Month-end becomes a review of a live picture, not a sprint through CSV exports.

For sales leaders

Per-customer payment history visible at the moment of the renewal or upsell. New scope is sold against what the client really pays for, and at the terms they really honour, not against the original quote.

For operations

Time entries, expenses and retainer burn tied back to the project in Zoho Invoice. The project lead sees where a job is leaking hours, before it shows up as a thinner end-of-quarter margin.

Ideas

What you can automate with Zoho Invoice.

Pair with Exact Online

Mirror Zoho Invoice into Exact Online for the books

Invoices, credit notes and customer payments from Zoho Invoice land in Exact Online with the right ledger codes and VAT setup. The freelancer or agency keeps Zoho Invoice for daily billing and the accountant gets a clean Exact ledger for the formal close, without two sets of records to reconcile by hand.

Pair with HubSpot

Turn HubSpot deals into Zoho Invoice customers and quotes

Closed-won HubSpot deals create Zoho Invoice customers with the right billing details, currency and tax setup, and prepare an estimate aligned to the deal scope. Sales sees Zoho Invoice payment history on the HubSpot record before quoting net-14 to a customer who has been paying in 45 for a year.

Pair with Calendly

Trigger Zoho Invoice quotes from Calendly bookings

A confirmed Calendly booking for a paid session creates the matching Zoho Invoice customer and a draft invoice with the right rate, currency and tax. Coaches and freelancers stop building invoices by hand the day after every consult.

Pair with Slack

Push Zoho Invoice alerts into Slack for the founder

Invoices passing 30 days overdue, retainers nearing burn-out and large incoming payments post into a Slack channel with the customer name and the open amount. The founder finds out the day it happens, not at the next bookkeeping check-in.

Pair with monday.com

Sync Zoho Invoice status to monday.com client boards

Each Zoho Invoice updates the matching client item on monday.com with status, due date and open balance. Account leads see what is sent, paid and overdue on their own board, without flipping into Zoho Invoice to chase one number.

Pair with Mailchimp

Segment Mailchimp audiences on Zoho Invoice payment behaviour

Zoho Invoice customers are segmented in Mailchimp by paid versus overdue, by lifetime spend and by months since the last invoice. Re-engagement and upsell campaigns target customers based on what they paid, not on a generic list.

Three steps

From Zoho Invoice to answers in three steps.

01

Connect securely

OAuth authentication. Read-only by default. We sign a DPA and your admin keeps the keys.

02

Land in your warehouse

Data flows into your warehouse on your schedule. Near real time or nightly, your call. You own the data.

03

Reporting, automation, AI

We build the first dashboard, workflow or AI feature with you, then hand over the keys. Or we stay on for ongoing delivery.

Two ways to work with us

Pick the track that fits how you work.

Track 01

Self-serve

We set up the foundation. Your team builds on top.

  • Zoho Invoice connector configured and running
  • Warehouse set up in your cloud account
  • Clean access for your Power BI, Fabric or Tableau team
  • Documentation on what's in the data model
  • Sync monitoring so you're warned before reports break

Best fit Teams that already have a BI analyst or data engineer and want to own the build.

Track 02

Done for you

We build the whole thing, end to end.

  • Everything in Self-serve
  • Dashboards built to the questions your team actually asks
  • Automations between your systems
  • AI workflows scoped to real tasks your team runs
  • Custom apps where a dashboard does not cut it
  • Ongoing delivery at a pace that fits your team

Best fit Teams without in-house BI or dev capacity. You tell us what you need and we deliver it.

Before you book

Frequently asked questions.

Who owns the data?

You do. It lands in your warehouse, on your cloud account. We don't resell or aggregate it. If you stop working with us, the warehouse stays yours and keeps running.

How fresh is the data?

Near real time for most operational systems. For heavier sources we schedule hourly or nightly. You pick based on what the reports need.

Do I need a warehouse already?

No. If you don't have one, we help you pick one and set it up as part of the first delivery. Common starting points are Snowflake, Microsoft Fabric, or a small Postgres start.

Will the sync run into Zoho Invoice's API rate limits?

Zoho Invoice limits API calls per minute and per day per organisation, with the daily quota tighter on the free plan than on paid Zoho plans. We batch reads, avoid full-history refreshes and schedule heavy pulls outside business hours, so a normal freelancer or agency ledger runs comfortably under the cap.

We run multiple Zoho organisations. How do you handle that?

Each Zoho organisation is its own tenant under Zoho Invoice, with its own currency, tax setup and customers. We connect per organisation and align customers and items at warehouse level, so group views split per entity or roll up to a consolidated view without leaving Zoho behind.

Does the connector work across Zoho's regional datacenters?

Yes. Zoho Invoice runs across eight regional datacenters covering the EU, US, India, Australia, Canada, Japan, China and Saudi Arabia, each on its own domain. The connector uses the right regional endpoint based on where the organisation is hosted, so EU-hosted accounts stay on the EU datacenter end-to-end.
